Client Service Specialist/Investment Operations

In this role you will:

  • Process forms and documentation for custodial related items including opening new accounts, setting up standing instructions, adding beneficiaries to accounts, etc.
  • Provide administrative support to CSS department for various requests including preparing FedEx mailings, postage and envelopes, faxing, emailing, filing, making copies, scanning docs, generating reports and other administrative related items as requested.
  • Assist advisors in onboarding, ongoing development and maintenance of client relationships; 90% of an assistant’s day is spent actively working on advisor/client requests.
  • Shield client confidentiality in all situations. Anticipate potential problems and alert leadership team necessary.
  • Interface effectively and follow up on all support issues with internal departments. Appropriately prioritizing time-sensitive issues.
  • Provide excellent telephone service to clients and potential clients, including prompt, accurate, and timely attention to detail. Schedule client appointments and conference rooms for appointments.
  • Maintain ongoing knowledge and understanding of compliance regulations, firm policies, procedures, products and technology in an ever changing regulatory environment, must be able to articulate the reason for certain requirements to clients
  • Be knowledgeable in all firm technology and established policies to provide quick, accurate responses to advisor, client and departmental inquiries
  • Assist with client transactions (e.g. cash management, insurance, tax payments, real estate transactions, payments, receivables, etc.) within the custodian system via check, EFT, wire transfer, etc.
  • Assist in the research and gathering of information to resolve a client issue.
  • Assist with the onboarding process of new clients by creating and maintaining accurate client records (e.g. contact details, client document filing, etc.).
  • Assist with preparing reports used for client meetings
  • address account issues and running reports as requested.
  • Provide document management for operations department and other departments including document naming and uploading to document management system.
  • Create and distribute various reports from custodian and data aggregation platforms for internal and external customers.
  • Strong analytical skills with ability to perform semi-advanced math (example: Calculations of Gross/Net IRA Tax Withholding and penalties). Excellent communication skills Strong organizational skills Detailed with an emphasis on accuracy Excellent written skills
  • Other duties as assigned.

What you need: Bachelor’s degree in finance or related field preferred. Demonstrated related experience may be substituted for preferred education. Minimum of one (1) year of experience within the financial industry preferred. Minimum of one (1) year of experience with investment accounts, retirement accounts, financial planning preferred.

Pay: From $45,000.00 per year
