Our office is conveniently located in the mid-city of Bellflower, CA. Our office location enables us to conveniently serve Los Angeles City and County, Orange County and neighboring cities.
Our portfolio exceeds 5,000 projects varying from engineering for single family homes, multi-family, Hotels, and ADUs.
Our company is looking for a Secretary to be an integral part in organizing the operations of our fast-growing business. The right candidate will have excellent communication and organizational skills in addition to being highly responsible and dependable. The candidate will be the point of reference for client and colleague queries while providing administrative support to colleagues and management in order to optimize workflow procedures in the office.
Previous experience in an engineering or design firm and accounting experience is preferred, but not necessary. The candidate should have a willingness to find new innovative solutions to office tasks and systems.
Responsibilities:
· Undertake printing orders and fulfillment
· Proposal writing
· Project invoicing and updating project logs
· Following up with clients and subcontractors on project status, proposals and invoices
· Greet visitors and direct them to the appropriate departments or individuals
· Handle all online plan submittals
· Answer and/or forward all incoming emails and telephone calls to relevant colleagues
· Book meeting rooms, set up conference calls and take messages and minutes during meetings
· Perform administrative tasks, including filing, print, scanning and photocopying
· Write emails, memos and letters
· Provide directors with reports and reminders on project status’
Qualifications:
· High school diploma, prefer some college experience
· Prefer previous secretarial experience but not required
· Familiarity with Google apps
· High degree of multi-tasking and time management capability
· Excellent written and verbal communication skills
· Highly organized
· Personable
· Punctual
· Fast learner
· Spanish speaker (preferred)
Job Type: Full-time
Pay: $42,000.00 - $52,000.00 per year
