Mid Florida Eye is searching for an energetic, patient focused, team oriented Medical Records Representative for our multi-specialty ophthalmology practice in the Mount Dora, Florida. The Medical Records Representative is responsible for performing a variety of routine tasks and special requests associated with the daily operations, including management of all incoming and outgoing records requests, scanning of paper chart documentation into the EHR, distribution and delivery of incoming faxes and mail as well as computer input. The daily tasks are often time-sensitive and therefore require consistent performance without reminders, with a focus on efficiency and accuracy. All tasks are to be completed as a team player within the department and company.

 

Responsibilities

  • Process incoming and outgoing medical records requests according to practice policy.
  • Retrieve/prepare requested documents by printing, photocopying, contacting outside sources, or accessing electronic databases.
  • Deliver appropriate records by faxing, mailing, pickup or other methods as requested.
  • Distribute incoming faxes and mail ensuring time sensitive reports such as labs and imaging are delivered to the appropriate location, provider, or team for review.
  • Maintain accurate medical record delivery and receipt logs as required by compliance.
  • Scan paper documentation into electronic health record (EHR) to ensure complete patient records.
  • Prepare chart documentation for upcoming appointments.
  • Maintain and protect sensitive and private information by keeping patient records confidential in accordance with HIPAA, local, state, and federal laws.
  • Respond to patient, provider or other vendor inquiries and phone calls in a professional manner.
  • Assist in other front desk areas as business needs require.
  • Other duties as assigned.

Qualifications

  • Minimum of a high school diploma.
  • Must have the ability to provide excellent customer service, communication, telephone, and grammar skills.
  • Must have the ability to establish confidence and trust with patients.
  • Must have the ability to remain calm and professional under pressure or stress.
  • Must be detail oriented and have excellent time management and organizational skills.
  • Prefer one or more years’ experience working in a medical position or clerical position.
  • Basic computer skills such as typing, email management, and knowledge of Microsoft Office required.
  • Ability to perform as part of a team and work well independently.
