Schedule: Monday - Friday 8:30 AM - 5:30 PM and Saturdays as needed
Status: Full-time (Non-Exempt)
Compensation: From $20.00 p/hour
$300 Sign-on Bonus After Completion of the 90-day Probationary Period
We are looking for an Executive Administrative Assistant with real estate experience to perform a variety of administrative tasks and support our company’s Director of Supply Chain & E-Commerce.
To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to all executive members. They must think independently to make decisions under pressure, and they need to have good communication skills to share information with their supervisor efficiently and effectively.
Essential Functions
- Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
- Must have real estate admin experience
- Needs to have a working knowledge of buying & selling properties, leases, property management.
- Be able to obtain information & public records about properties for sale.
- Act as the point of contact among executives, employees, clients and other external partners
- Draft, review and send communications on behalf of company executive(s)
- Researching and conducting data to prepare documents for review for executives.
- Manage information flow in a timely and accurate manner
- Manage executives’ calendars and set up meetings
- Make travel and accommodation arrangements
- Greeting visitors and deciding if they should be able to meet with executives.
- Rack daily expenses and prepare weekly, monthly or quarterly reports
- Take minutes during meetings
- Screen and direct phone calls and distribute correspondence
- Organize and maintain the executive filing system
- Handling basic bookkeeping tasks
- Using various software, including word processing, spreadsheets, databases, and presentation software

Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
This job operates in a warehouse environment where the noise level can be loud. The employee is frequently exposed to fumes or airborne particles, moving mechanical parts and vibration. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Required Education and Experience
A minimum of HS Diploma or GED and three years of executive administrative assistant experience. Proficiency with MS Office Suite including Excel, PowerPoint. Must have Real Estate knowledge.
Preferred Education and Experience
Associate’s degree and two years of related experience. Knowledge of standard office equipment and of office management systems and procedures. Previous experience in Real Estate including but not limited to leases, property management, buying and selling properties.
Work Authorization
Must have legal authorization to work in the United States.
