Summary
The IT Training Administrator reports directly to the Assistant Director, Clinic Applications and is responsible for communicating ITS training policies and procedures across Midwestern University. The IT Training Administrator is responsible for conducting role analysis by mapping staff and providers to their required training, coordinating all classroom and equipment aspects of Epic-led virtual trainings, and managing super user led onboarding and engagement throughout the project. Additional duties include planning and coordinating the day-in-the-life (DIL) activities, led by a team of super users. This position may be located on the Downers Grove, IL or Glendale, AZ campus.
Essential Responsibilities
Responsibilities for this role are split between the following three categories:
- Classroom Administration/Planning
- Set training requirements for end-user system access.
- Communicate with project leadership about training milestones, policies, and decisions.
- Engage with Human Resources department, operational managers, and ITS to develop and coordinate initial Epic training.
- Communicate with staff throughout the project to ensure that they are staying engaged and are prepared to support end-user training and readiness.
- Develop processes for staff, providers, and managers to escalate questions and concerns about Epic class assignments and registration. Work closely with Epic to address changes when necessary.
- Provide Epic with the appropriate data to import trainee information into the Epic Training Platform.
- Communicate directly with Epic regarding training registration and completion data. Share training and registration data with operational and project leadership. Define the proper escalation paths, to ensure data is routed to the appropriate party.
- Ensure all staff have the appropriate Epic training tracks assigned and are registered for Epic classes.
- Secure training rooms, workstations, printers, projectors, screens, barcode scanners, and other equipment needed for virtual Epic-led training and any operationally lead DILs that require a computer lab.
- End-user engagement and change management
- Create and execute an overall vision for an end-user engagement program, including DIL activities for every role.
- Outline and form additional educational and communication plans.
- Generate strong super user lead engagement before, during, and after go-live.
- Long-term training coordination and leadership
- Plan and execute a successful employee onboarding program.
- Work with Epic prior to go-live to create a process for Epic to receive ongoing personnel data to assign the appropriate training to new users and existing users transferring to new roles and departments.
- Ensure new staff and transfers have appropriate Epic training tracks assigned after go-live.
- Work with super users, IT analysts, and others to ensure that productivity and proficiency metrics based on system usage are reviewed.
- Work with analysts and super user leads to ensure key changes are communicated to end users prior to upgrades.
Certification Requirements:
No certification is required; however, incumbent must attend the Epic Fundamentals Application and Overview of Implementation in-person classes in Verona, WI.

Education and/or Experience
Bachelor’s Degree required, preferably in an Education or Healthcare related field. 3-5 years' experience related to training or project implementation is required, preferably in a healthcare setting. The ideal candidate will have a good understanding of how to coordinate trainings, work well with others and track classroom experiences. The candidate must be able to build good rapport with staff and have excellent communication and organizational skills. Experience with training logistics preferred. This position requires the ability to work independently and function as an integral part of the team.
Computer Skills
Computer proficiency in MS Office (Word, Excel, Outlook) required. Must have the ability and willingness to learn new software and systems as necessary.
