Position Summary: Due to our rapid clinic expansion plans, we are looking to add a Leave of Absence Coordinator to join our growing Human Resources team. The Leave of Absence Coordinator reports to the Employee Relations Manager and is a member of the Employee Relations team. They will oversee and administer leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans.The Leave of Absence Coordinator will have direct communication with employees by assisting them with their leave options, answering questions regarding how pay works on their leave, ensuring the proper paperwork is returned to the company and Short-Term Disability documents are sent on behalf of the employee to our benefit partners in a timely manner. This individual will collaborate with the ER Manager and VP of Employee Relations on more complex situations and track and report back on data and analytics tied to the leave requests received. This position requires a business-savvy individual with a passion for people, processes, and organization. They must be able to thrive in an ever-changing, fast-paced environment and be an effective written and verbal communicator. In return, they will be exposed to a broad range of Employee Relations functions and may be asked to collaborate with corporate compliance and legal teams on occasion.
 

Responsibilities: 

  • Communicates with employees regarding their needs for leave and/or modified work schedules. Ensures that employees are aware of their responsibilities and any documentation and notice required to qualify for and to take leave.
  • Handles the FMLA leave administration process from the employee's initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
  • Ensures leave of absences are accurately entered and tracked in the HRIS system.
  • Streamlines communication of leave of absence dates and leave of absence extensions or updates among employees and leaders.
  • Maintains reasonable communication with employees on leave to facilitate a smooth and timely return to work; relays communication between employees and their managers during leave within reason.
  • Advises managers and employees on the interaction of leave laws with paid time off, worker's compensation, and short-term and long-term disability benefits
  • Oversees the return-to-work process for employees returning from extended FMLA, worker’s compensation, or other leave(s).
  • Facilitates other leave requests, which may include accommodation requests under the ADA.
  • Administers other company time-off programs as assigned in accordance with internal policy and applicable laws.
  • Collaborates with Compliance and Legal teams on future drafts and/or recommendations or revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
  • Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
  • Preserves confidentiality of employee medical documentation and files.
  • Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Extensive knowledge of the leave requirements and other legal protections afforded by the
  • FMLA, ADA, and other applicable laws.
  • Excellent written and verbal communication skills.
  • Excellent analytical and problem-solving skills.
  • Excellent organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite, G-Suite, Google Docs, and Google Sheets or similar software.

Education and Experience:

  • Bachelor's degree in Human Resources or related field required.
  • Two years of human resource experience preferred.
  • Completion of specialized certification or training on FMLA/leave administration is a plus.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
