We are looking for a dedicated Legal Administrative Assistant to join our prestigious tax law firm, which has been recognized as an award-winning firm in the Union Tribune’s BEST of SD as well as Fox News and other publications.

As a member of our cohesive team, you will actively support our team to defend businesses scrutinized by IRS and State of California in criminal and civil tax audits and tax collection matters. You help sort records, review government correspondence, help catalog records within our established format to easily locate critical information. You will also communicate with clients and help set appointments for client meetings.

Essential Job Functions will include:

  • Organize and sort a large volume of government and client correspondence and records based on the topic, document type, or the source of information. You will interpret and derive important information from government agency notices to ensure compliance in recordkeeping and to keep the team of attorneys and tax professionals updated on deadlines to respond to a notice and documents that will be needed to submit to the government.
  • Manage electronic files from various sources to ensure compliance and accurate records and to allow attorneys and staff to easily locate these records. You will then organize and track firm internal records for various project files. Manage records to ensure an accurate log of all incoming and outgoing written correspondence with the government, clients, and third parties.
  • Proactively communicate with team members about upcoming deadlines or notices received by U.S. Mail, email, and fax communications. Meet with team members to review the records and strategize on the required response.
  • Answering phone calls from clients and government agencies to record essential information to allow attorneys to be briefed on the nature and essential facts of each phone call.
  • Proactively help manage case calendar for client matters and the firm by asking the right questions to ensure deadlines are being met and prioritizing tasks to complete projects on time.
  • Communicating with clients and the team about deadlines and upcoming appointments and determining resources and information needed to satisfy each deadline.
  • Filing, scanning and providing other administrative duties.
  • Prepare outgoing faxes to clients and government agencies with clarity and accuracy to convey complex information in a simple manner.

Education, Skills & Experience REQUIRED:

The ideal candidate for this opportunity is a high energy individual who thrives in a fast-paced environment, is an enthusiastic learner with superb communication skills and someone who, like us, wants to help businesses stay in business and has the following required:

  • 4 year degree
  • 2 years of previous experience in customer service (inbound and outbound calls to clients to resolve issues and answer questions) handling volume of 25 phone calls per day.
  • 3 years of experience in managing a large volume of documents and records (electronic and hard copy) including organizing, reviewing, naming, and filing electronic documents including financial records, bank statements, tax records, and government notices.
  • Experience working with excel.
  • Proven work experience with outlook; scheduling, e-mail and task management.
  • Excellent computer and organizational skills.
  • Detail-oriented, ability to prioritize and always meet deadlines.
  • Strong analytical, written and communication skills.
  • Proven experience in drafting letters and forms to clearly communicate information and include chronology of facts and records.
  • Prior client interaction needed.
  • Must be able to type 60 words per minute.

This position would be available part time for a law clerk.

Job Type: Full-time

Pay: $20.00 - $27.00 per hour
