We are looking for a responsible Project Coordinator to perform a variety of administrative and clerical tasks within our Commercial Construction office. Duties of the role include providing support to our project managers and estimators, assisting in daily office needs and managing our company’s general administrative activities. The ideal candidate should have excellent oral and written communication skills. Ultimately, a successful person would ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Understand and interpret WIP documents
- Write and distribute purchase orders and subcontracts to vendors for new projects
- Track and file all signed and executed subcontracts
- Track and receive all COI, WC, W-9 and provide to accounting
- Draft and distribute sub list for project superintendent
- Create and distribute project introduction letter
- Create and distribute request for notice of commencement
- Create and distribute notice of furnishings
- Receive and distribute notice of commencement from client
- Draft and issue owner contracts
- Coordinate signature and execution of document
- File digitally owner contract
- Setup project in project management tool
- Setup files on network server
- Request and process all submittal information
- Maintain submittal log
- Manage the collection and distribution of RFI documentation
- Maintain RFI log
- Overall responsibility for preparing and kicking off new projects
- Weekly project meetings with owner and or subcontractors and superintendent
- Meeting agendas and meeting minutes
- Weekly project progress reports
- Requesting pricing for bulletins and changes when applicable from sub vendors and contractors
- Gathering necessary documentation needed to prepare estimates for change orders
- Overall responsibility for submitting change order proposals for active projects as developed by project manager
- Maintain Change Order Log
- Completion of closeout documents
- Assist with As Builts and closeout documents
Skills
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Proficiency in MS Office
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
Job Type: Full-time
Pay: $40,000.00 - $55,000.00 per year
