What are the responsibilities and job description for the Administrative Assistant position at Mira Loma?
We are a custom manufacturer of sets, props, and signage for clients at the highest levels within the themed entertainment industry. We are currently seeking an Administrative Assistant to be responsible for the procurement of goods and services for the Operation. Job responsibilities include but are not limited to answering incoming phone calls, placing purchase orders, product sourcing, scheduling will calls and deliveries, tracking orders, negotiating pricing, reconciling orders and invoices, job costing, record keeping and additional duties as needed.
Responsibilities:
- Assign POs for materials, supplies and services as needed
- Follow up and track incoming material orders and communicate with applicable
Departments and Project Managers
- Coordinate daily routes for scheduled material will-call orders and pick up/drop off
- Coordinate service/repairs for vehicles (as needed)
- Source new materials, products and services as needed per project
- Receive and verify quantities on incoming orders
- Reconcile receipts/invoices and purchase orders, turn into Bookkeeper upon receipt
- Update Job-Costing spread sheet for materials purchased and labor per job/day/order
- Provide weekly Job-Costing reports to management
Interface via phone, e-mail, and in person
Skills:
Proper English skills (written and spoken)
Proficient in Microsoft office including Excel and Word
Ability to effectively manage time and prioritize tasks
Minimum Type 40 WPM
Looking for a team player who is outgoing and can act as a liaison between our team and vendors.
Hours of work are Monday - Thursday 7am-6pm, with some overtime required.
