What are the responsibilities and job description for the Loan Administrative Assistant (Remote) position at Mission Valley Bank?
For our Mission Valley Bank location in Sun Valley, CA we are seeking a Loan Administrative Assistant (fully remote) working in our Sales Department. This position is responsible for providing a broad range of administrative and general support to the Regional Sales Manager, Relationship Managers and the Sales department. In addition, this position will collaborate with Relationship Managers/Business Development Officers and Portfolio Managers to ensure compliance with credit and risk management activities, as well as providing administrative support to Regional Sales Manager as needed.
Essential Duties and Responsibilities
Sales Support:
- Assist Regional Sales Manager with ensuring RMs are keeping the CRM updated.
- Run Loan Origination Reports and ensure that loans have been boarded accurately. Resolve any inaccuracies with Loan Servicing.
- Assist Regional Sales Manager with validation of Quarterly Incentive Reports.
- Prepare and review entity documentation of new deposit accounts and commercial loans closings as needed.

- Order required due diligence items (i.e. Appraisals, Environmental Reports, Property Inspections, Credit Bureau Reports, Site Inspection Reports and Flood Searches).
- Review all loan documents prior to closing to ensure that they will cover the intended collateral and document the borrower's and guarantor's obligations to the bank.
- Prepare loan funding information based upon the approval and closing documents.
- Verify that all pre-closing conditions have been met prior to authorizing funding.
- Assist with various clerical duties as assigned during the loan origination process.
- Assist sales team with collection of loan packages and other assigned tasks.
Portfolio Management Support:
- Set-up /Scan commercial loan files, responsible for maintaining department files in an accurate and efficient manner.
- Run Loan Maturity Reports and follow up with Relationship Managers and Business Development Officers to ensure loans are renewed/dispositioned before maturity date.
- Run, follow up and monitor Past Due Payment Reports to ensure past due payments are kept to under 30 days.
- Assist with follow up on tickler reports for financial statements, tax returns, and other documentation.
- Process/submit loan advances, pay downs, and disbursement.
- Assist customers with questions over the phone researching and resolving customer service issues.
- Assist with completion of Administrative Action Forms.
- Assist with various other Portfolio Management tasks as delegated.
Compliance:
- Collaborate with Relationship Managers, Business Development Officers, Credit Administration to ensure compliance with all Reg B requirements.
- Ensure all Loan Application Dates are recorded.
- Ensure all Loan Application Dispositions are appropriately recorded in the CRM.
- Ensure all Notice of Incomplete Applications are completed, sent and documented as required.
- Ensure all Notice of Adverse Acton Taken Notices are completed, sent and documented as required.
- Ensure CRA Information Form is completed for each originated or renewed loan.
- Bring any suspicious activity to the attention of a supervisor, or the Bank Secrecy Act Officer.
- Follow all Bank policies and procedures to ensure compliance with all laws and regulations.
- Understanding of and compliance with regulatory guidelines including but not limited to CRA, BSA, GLBA, etc. as the regulations pertain to the employee's job function.
- Other duties as assigned.
Basic Requirements
- A high school diploma or equivalent is required; two years of college and an Associate degree is preferred.
- 2 to 3 years of experience as a loan assistant, loan operations or loan closing position
- Understanding of the basic documentation necessary to maintain a complete loan package.
- Familiarity with commercial loan documents, SBA loan documents, legal entity documents, and insurance document
- Knowledge and understanding of bank operations, policies and procedures.
- Excellent written and communication skills, including ability to deal professionally with branch issues, problems, and questions.
- Excellent attention to detail and accuracy; good organizational, research and follow-up skills.
- Ability to meet deadlines and follow directions in a timely, accurate and confidential manner.
- Ability to work independently with limited direction from supervisor.
- Ability to interact with all levels of clients, staff, and management.
- Ability to work successfully in a deadline driven environment.
- Proficiency with Microsoft Word and Excel

Physical Demands / Work Environment
This is primarily a sedentary position that requires extensive computer work.
