About the Job
This position administers and coordinates all aspects of MLC’s St. Louis offices which includes vendor relations for equipment and facility maintenance, ordering office and break room supplies, planning events, etc. Additionally, the role provides high level administrative support c-suite leaders. This position must regularly and effectively interpret requests and implement necessary actions or procedures.
Provides administrative support to assigned leaders by handling a wide variety of functions including but not limited to managing calendars, booking travel arrangements, preparing correspondence, compiling reports, administering records, filing, mailings, etc.
Answers and screens telephone calls and email inquiries with efficiency and discretion.
Plans and coordinates events such as offsite meetings, townhalls, lunch or dinner meetings, trainings, holiday parties, and charitable events. This includes venue selection, catering, transportation, and accommodations.
Assists with the administration of Core Values Awards.
Administers all Confidentiality Agreements and related records. Prepares, provides, collects, and maintains electronic files in shared directory.
Maintains dues, subscriptions, and memberships as requested, and coordinates payments.
Serves as the designated liaison with building management on office matters including office space, security, HVAC, restrooms, and other building/office issues that may occur.
Administers the agreement with third-party office aesthetics services for live plants.
Ensures recycling, shred bins, coffee and ice machines, office plants, AED machine, fire extinguishers, first aid supplies and other equipment are regularly serviced, and invoices processed.
Stocks and maintains MLC café supplies, snacks, beverages, etc.
Employees are expected to perform other responsibilities as needed.
Requirements
Education: High School Diploma or equivalent required. Bachelor’s degree in business or related field preferred.
Experience: Seven years of experience supporting C-suite executives required with at least 3 years directly supporting a CEO and managing a professional office.
Licenses/Certifications: Valid Driver’s License required. Certified Notary Public or ability to obtain certification within first month of employment.
Skills: Proficiency in MS Office suite, strong written and verbal communications, action oriented, collaborative, and decisive.
Abilities: Ability to maintain confidentiality, problem-solve, multi-task, work in a fast-paced environment and meet deadlines. The ideal candidate will be a dependable self-starter who proactively anticipates issues/needs and actions appropriately.
