Attendance Secretary - Limited Duration
Position Serves Molalla High School
4 hours per day/5 Days Per Week/Limited Duration position ending June 15, 2022
This position will cover for the Attendance Secretary and other secretaries as needed.
Attendance Secretary:
JOB GOAL: Under supervision of the building head secretary, maintain and monitor school attendance records, receive calls from parents regarding their student's attendance/absence record, enter data on computer, and prepare reports relating to student attendance/absences. Arrange the sale of student lunches and prepare documents in compliance with state and federal laws.
ESSENTIAL REQUIREMENTS: To perform this job successfully an individual must be able to execute each requirement satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability needed for the position.
- High School Diploma or equivalent as required by OAR 581-37-030, Oregon Department of Education (two years of experience in clerical work, requiring frequent contact with the public)
- 18 years of age or older
- Ability to work harmoniously with others and to communicate effectively (both orally and in writing) with students, parents, and teachers
- Ability to understand and follow oral and written instructions
- Ability to manage a high volume of telephone calls on a regular basis
- Ability to maintain confidentiality
- Ability to handle sensitive situations on the telephone and in the office regarding student information
- Ability to exercise initiative in follow-up with students and teachers regarding student absences
- Ability to type with accuracy, operate standard office equipment such as computer, copier, intercom, etc.
- Ability to use word processing programs on a computer
- Possess knowledge of building procedures and policies and ability to interpret to students, parents, and staff
- Perform physical requirements which may include:
- Moderate degree of physical stamina
- Frequent standing, walking, bending, and occasional lifting up to 50 lbs.
- Ability to use a telephone, computer, and other office equipment
- Ability to make frequent trips from the desk to the counter, files, and other locations within the school.
Such alternative to the above requirements as the School Board or the Administration may deem appropriate and acceptable.
ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may also be assigned.
- Maintain and monitor student attendance records
- Receive calls from parents regarding student attendance/absence
- Enter attendance and enrollment on the computer and prepare reports as assigned regarding student attendance/absence
- Compile attendance data from classroom reports, post daily student records and prepare periodic summary reports
- Train and supervise student assistants on proper telephone etiquette, acting as receptionist for students and parents, delivering a variety of material to teachers and offices and performing general office duties
- Prepare correspondence on attendance matters and respond to questions on attendance regulations
- Maintain a high level of ethical behavior and confidentiality when dealing with student information
- Determine qualifications of applicants for free or reduced meals and notify applicants and their parents, respond to questions regarding lunch fees and forms
- Complete necessary reviews of free and reduced lunch applications as specified by law and complete associated forms
- Collect and transfer necessary daily information to the cafeteria and redistribute attendance forms to teachers
- Provide general office assistance in answering telephone calls, responding to inquires from students, parents, visitors, etc.
- Perform such other tasks (which may require knowledge of other job descriptions) as may seem appropriate to the Board or Administration.
CERTIFICATES, LICENSES, REGISTRATIONS, BONDING, AND/OR TESTING REQUIRED:
- Must possess and maintain a valid First Aid card
- Criminal Justice Fingerprint Clearance
- Molalla River School District requires all staff to be fully vaccinated effective October 18, 2021 unless a religious or medical exception is approved.
