Position Primary Responsibilities
The Executive Assistant is responsible for providing high level executive assistance and project administrative support for the Molo Companies Executive Management Staff. Responsibilities require the ability to think critically and offer solutions to problems with a high level of professionalism and confidentiality.
Responsibilities:
- Provide confidential, professional administrative support to senior executive management of the company.
- Perform administrative tasks that may include drafting communications, organizing expense reports, preparing reports, coordination of calendars, filing, and compiling documentation. documents.
- Keep legal documentations organized including monitoring and meeting deadlines, documenting actions, imputing information into appropriate administrative systems.
- Maintain, apply, and ensure requirements for licenses, insurances, and permits are maintained for multiple business divisions including vehicle registrations, oversize loads, unground storage tanks, lottery, liquor, and food.
- Assist with setting up meeting rooms, organize catering, and ensure the common office areas and meeting rooms are clean and presentable throughout the day.
- Coordinate and collaborate with Executive Management Staff to ensure project tasks are completed within timelines required by staff.
- Support project management efforts by documenting timelines, tracking success of projects, facilitating communications throughout the team.
- Additional duties and responsibilities as assigned.
Knowledge, Skills, and Abilities:
- 2 years of pervious executive administrative experience preferred and/or 5 years of previous administrative support experience required.
- Ability to maintain high level of confidential information including written and verbal.
- Ability to perform multiple tasks effectively with a focus of timeliness and responsiveness while remaining highly organized, with attention to detail.
- Solid verbal and written communication skills with a focus on customer service.
- Proficient in Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint
- Ability to establish and maintain effective working relationships with all levels of management.
