Key Responsibilities
- Manage and organize the practice's inbox, promptly responding to emails and forwarding relevant information to the appropriate providers.
- Check voicemails daily, returning calls to patients and handling inquiries or concerns in a compassionate and professional manner.
- Coordinate the flow of information and materials between patients, providers, and other relevant parties.
- Create and maintain lists, ensuring accuracy and timeliness in tracking and ordering materials required for the practice.
- Take proactive steps, such as contacting water delivery services, to address any issues related to water supply promptly.
- Manage applications and intake forms, ensuring they are completed accurately and following up as needed.
- Assist with scheduling appointments, managing reschedules, and maintaining an organized calendar for providers.
- Contribute to the development and implementation of processes and procedures to improve practice efficiency and effectiveness.
- Engage in various projects and tasks as required to support the smooth operation of the therapy practice.
- Experience as a Virtual Assistant or Executive Assistant is preferred.
- You MUST be available during regular business hours.
- Knowledge or a strong interest in the therapy world is essential to understand the unique needs and dynamics of the practice.
- Exceptional attention to detail, ensuring accuracy and thoroughness in all administrative tasks.
- Demonstrated empathy and the ability to communicate effectively with patients and providers, displaying a high emotional intelligence (EQ).
- Intuitively organized, capable of managing multiple priorities and deadlines.
- Excellent written and verbal communication skills to effectively correspond with various stakeholders.
- Proficiency in platforms such as Simple Practice, Google Office Suite, and Canva.
- Availability of 10 hours per week, with the flexibility to increase availability as needed.
- Located in the Eastern, Central, or Mountain Time Zone for convenient coordination with the practice.
