Brief Position Overview SUMMARY:
The Accounting Associate IV position serves as the front line to Business Services/Student Accounts including answering the main phone line, assisting in student accounts, and directing students and staff to the appropriate areas for assistance in accounts payable, mailroom, and accounts receivable. This position is responsible for performing audit and accounting duties in support of the accounts payable function at MSU Billings to include the audit of invoices and requests for payment, process travel advances and reimbursements, review purchasing card transactions, data entry, assist with purchase card setup and Chrome River administrative reporting.

Duties and Responsibilities

  • Provide exceptional customer service and represent Student Accounts/Business Services in a knowledgeable and professional manner for student, parent and public inquires via telephone, email, and walk-in. Provide guidance and solve problems as needed.
  • Deliver accurate information regarding fee payment, holds, balances, Student Account office policies, procedures, and deadlines.
  • Audit invoices, travel vouchers, advances and reimbursements submitted to ensure accuracy and proper procedures and paperwork completion.
  • Examine, analyze, and interpret records to ensure proper recording of transactions and compliance with laws, regulations, policies and procedures to ensure there is no fraud, duplication or violation.
  • Verify employee credit card transactions by auditing transactions and supporting documentation and identifying errors.
  • Assist in ensuring departmental compliance with MSUB, state and federal laws, rules, procurement policies and procedures.
  • The Business Services team is cross trained to provide full coverage for the office requiring active participation as a member of the team performing other duties in support of the department’s mission.

Required Qualifications – Experience, Education, Knowledge & Skills

  • Progressively responsible administrative work in a busy office setting with an emphasis on high level administrative support or an equivalent combination of relevant education and experience.
  • Customer service experience dealing effectively and diplomatically with a variety of people that may include handling difficult customer service situations.
  • Proficient experience using computers and various software packages including MS Office Suite.
  • Accounting or bookkeeping experience which includes processing and tracking of expense or revenue transactions or other detailed financial data.
  • Reliable and Dependable – Follows through on tasks and maintains a professional manner
  • Quality and Quantity of Work – Demonstrates the ability to problem solve and manage tasks
  • Excellent oral and written communication skills
  • Experience interpreting, explaining, and maintaining compliance with policies and procedures.

Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Experience with Banner.
  • Demonstrated experience with an accounting or accounts payable system.
  • Experience with Chrome River.
