POSITION SCOPE AND ORGANIZATIONAL IMPACT:
The event specialist is responsible for organizing events and meetings for our organization from planning to implementation, including supervision of vendors. Events range from 50 people to 1,000 people and take place both during and outside of normal business hours. You are also required to build and maintain healthy business relations while implementing our core values. You will build an extraordinary image for our organization and provide brand awareness to our employees, business partners, and clientele.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
- Manage and organize national events for the organization from planning to implementation
- Maintain timelines and schedules, invites, event communications, coordination meetings, checklists, and post event review sessions
- Manage outside vendors, negotiate pricing, evaluate venues
- Self-perform or oversee set up and tear down
- Maintain promotional materials
- Perform all other job duties related to event planning
Education and Work Experience:
- Prior experience leading corporate event planning and/or large group meetings of more than 500 attendees
- Strong experience in managing resources, vendor negotiation, venue selection, and budgeting
- Experience in the AEC industry and with media events is an added advantage
- Must have transportation to travel to tradeshows, hotels, and construction sites
- Great verbal/written communication skills and organizational skills
- Strong work ethic that allows collaboration with other departments & teams, adaptable to change, rapid decision-making skills
- Proficiency in Microsoft Office (Powerpoint, Word, Excel, OneNote, Teams)
- Bachelor's degree (B.A.) from a four-year college or university; or one-to-two years related experience and/or training; or equivalent combination of education and experience.
