What are the responsibilities and job description for the Billing manager position at Mott MacDonald?

Mott MacDonalds Northeast Unit is seeking a Billing Manager to join their management team. In this position candidate will be responsible for managing the workflow of project invoicing within the Northeast Unit, ensuring quality and accuracy along with efficiency and expeditious submissions to meet and exceed positive cash performance.

Job responsibilities include, but not be limited to:
  • Driving Unit’s billing and cash collections performance.
  • Managing working capital to ensure timely and accurate billing and collections while actively thriving to reduce average Days Working Capital Outstanding (DWCO)
  • Project focus management of working capital within Connect Business (current MM ERP)
  • Management of 10 staff in the Northeast Unit, including: coordination, hiring and management of billing staff with active role in appointments, training, and performance reviews.
  • Training staff on procedures and ensuring Invoicing guidelines are followed and met.
  • Monthly review of team’s workload and reassigning projects as needed.
  • Working alongside Division and Portfolio managers to improve processes, understand and overcome billing and collection challenges.
  • Leading monthly working capital meetings, assigning actions and assuring timely resolutions.
  • Working with Unit Management Accountant and Regional Invoicing lead on KPIs for invoicing team and measuring team’s performance based on those.
  • Understanding and interpreting contract financial terms, ensuring compliance is achieved.
  • Assisting with coordination of subconsultants on invoicing guidelines and ensure timelines are met. Assuring timely and accurate subconsultants invoice posting and alignment with system purchase orders.
  • Monthly invoice preparation.
  • Understanding client contract requirements, submission methods and approval period.
  • Forecasting cash based on client payment history and assist in monthly cash reports.
  • Tracking actual cash collections daily against the forecast, understanding the shortfalls and taking necessary actions to address any issues.
  • Producing and analyzing various monthly billing and cash reports.
  • Creating and implementing efficiencies in workflow to maximize profit and improve DWCO.
  • Analysis of aged working capital to ensure WIP billed, and debts collected will drive positive cash.
  • Supporting of project claims as needed.
  • Internal and external audit support as needed.
  • Ensuring project file management of invoicing documents are being followed.
  • Supporting monthly close.
  • Exploring opportunities for automation and use of digital tools for improved efficiency.

Candidate Specification

We welcome applications from candidates with the following experience:
  • BS or BA Degree in Accounting, Finance or Business
  • 7 or more years of corporate accounting experience, specifically with project accounting
  • Industry experience preferred but not required.
  • Management experience, supervising and coordination of responsibilities.
  • Effective communicator with good presentation skills and leadership qualities.
  • Advanced knowledge and proficiency with Excel and other MS Office products
  • Effective communication, detailed oriented, time management and ability to problem solve.
  • Occasional travel may be required.

Salary Range: $110,000 - $140,000
