JOB DESCRIPTION

Position Title: Executive Director
Employee Classification: Full Time, Salary
Work Schedule: 40 Hours a week

(Additional hours required for after-hours meetings, weekend events, etc)

Reports to: Board of Directors
Job Purpose: Provide leadership, vision and direction to MTE by; setting the operational tone, coordinating with the BOD on long term planning and direction, operating as the MTE representative in media, fundraising and community settings, and overseeing the management and execution of all MTE programming
(including but not limited to: museum, summer camp, afterschool programming, outreach).

ESSENTIAL DUTIES & RESPONSIBILITIES:

Leadership and Board Relations:

  • Develop annual budget for presentation to the Board of Directors
  • Updates monthly financials
  • Coordinate the purchase of and maintain the inventory of supplies and equipment with the approval of either the Board Chair or Members at large when applicable
  • Submit payroll and other expenditures to meet proposed budget
  • Provide monthly financial documentation and paperwork to the Board
  • Supervise expenditures and maintains budget
  • Research Community Funding
  • Secure community support and corporate sponsorship
  • Determine eligibility for scholarships, distribute and collect applications

Administrative:

  • Supervise time sheets for each pay period
  • Administer organization programs according to the Colorado Department of Human

Services Rules and Regulations, and local Health and Fire Department regulations

  • Maintain a safe and healthy environment for all locations the MTE operates
  • Maintain inventory and purchasing of all assets
  • Prepare and sort monthly paperwork to accountant for all purposes
  • Obtain board approval on all events, programs and exhibits prior to committing and or executing said programs
  • Coordinate all events after Board’s approval, obtain adequate staffing/volunteers
  • Maintain all insurance policies, including but not limited to liability, workman’s compensation, board of directors, oversee all claims

Personnel:

  • Recruit, interview, hire, train and evaluate staff as needed
  • Maintain compliance with federal, state and local laws and regulations covering equal opportunity employment, minimum wages, etc.
  • Provide orientation for new directors which includes job description, personnel policies, organization policies
  • Conduct regular staff meetings
  • Develop professional growth plan with each staff member working with children
  • Develop and maintain wage and salary scales and criterion in accordance with policies and procedures
  • Assist with coordination of volunteers in programs and maintain records
  • Supervise staff schedule with other Directors
  • Maintain a minimum training requirement of 3 credits every 5 years as defined in the

Department of Health and Human Services Rules and Regulations.

Curriculum/Classrooms:

  • Oversee the management of programs and exhibits according to the Mountain Top

Explorium mission statement and vision

  • Supervise development and implementation of curriculum
  • Serve as museum educator and attendant for both programs and exhibits when needed
  • Propose and maintain annual calendar of events and programs to the Board of Directors on an ongoing basis

Public Relations:

  • Maintain liaison with community preschools, child care centers, Summit County Resource and Referral, elementary schools and other non-profit organizations as needed
  • Represent organization through related community involvement
  • Support, attend and work organizations activities and fundraisers
  • Accept donations and grant money and send out recognition
  • Attend professional conferences, lectures, events (minimum of 9 hours/year)
  • Represent organization to the newspapers, radio stations and PR

Parent/Guest Relations:

  • Maintain positive communication with guests and program participants
  • Answer phones, provide information on programs and exhibits, create a welcoming environment to all visitors
  • Solicit community members and businesses for donations and/or sponsorships
  • Create, maintain and administer parent questionnaires/surveys with other Directors

Board of Directors:

  • Assist in finding new board members as necessary
  • Maintain communication with each board member
  • Attend all monthly board meetings
  • Assist in future planning for the organization
  • Assist fundraising committee chairperson and other committees as needed

Maintenance Coordination:

  • Maintain building/light bulbs, door locks, minor maintenance
  • Schedule regular and emergency maintenance as needed
  • Schedule/coordinate equipment maintenance and replacement as part of yearly plan and budget.

Safety:

  • Adhere to and enforce Mountain Top Explorium’s safety policies, procedures and practices in order to ensure the safety of guests and staff.
  • Be aware of important safety practices, and observe, document and report unsafe situations to Directors.
  • Participate in safety training and respond to emergencies in an effective and appropriate manner that is consistent with common safety practices.
  • Complete accident/incident reports as required.

Training:

  • Attend required MTE training, orientations, and meetings as necessary.
  • Maintain skills and abilities to effectively carry out all job functions.
  • Assist with training/mentoring of volunteers and new staff members.

Capital Campaign:

  • Serve as Capital Campaign Director as needed (see Capital Campaign Director)

EDUCATION, EXPERIENCE, AND FORMAL TRAINING

  • To qualify for this position the candidate or employee must pass a criminal background check.
  • Must possess a Bachelor’s Degree
  • Must be Director qualified per State Licensing Requirements
  • Training and experience in customer service.
  • At least one year of experience with children in a group setting is required. Teaching experience with youth desired.

LICENSE OR CERTIFICATIONS

  • Community CPR, first aid and AED training required within 60 days of hire, provided by MTE
  • Preventing disease transmission (PDT) required within 60 days of hire.
  • The candidate or employee must receive clearance for child abuse and neglect as determined by the Colorado Department of Human Services.
