We are looking for an Events Coordinator to join our team in collaboration with our Special Events Manager. Together, they will shape the vision, leadership and execution of local and national events, food drives and employee engagement activations. The core part of this position will be the support and management of national event campaigns.
About Move For Hunger
Move for Hunger is a national non-profit organization that mobilizes transportation networks to deliver surplus food to communities in need.
We were founded in 2009 and have partnered with over 1,100 moving companies across the nation to encourage their customers to donate their food when they move. We have seen rapid expansion over the past few years within the relocation and multifamily apartment industries - with over 600,000 apartment units working with us.
In addition to rescuing food during move out, Move for Hunger also organizes thousands of food drives, fundraisers, and corporate employee engagement events. We’ve recently expanded our reach to farmers, distributors, CPG and logistics companies in an effort to recover fresh food.
Since its founding, Our team of 20 has delivered more than 36 million pounds of food to those in need - enough to provide more than 30 million meals.
Essential Functions:
- In collaboration with the Special Events Manager, develop and facilitate budgets for events inclusive of all cost projections to inform business decisions
- Providing support on a variety of events such as food drives, employee engagement events, fundraising events, etc.
- Traveling for onsite event assistance, including managing event set up, tear down, and follow up; travel is required
- Attend partner calls relating to support, planning or post event matters
- Creating and managing all Fundraising Pages via our Classy portal
- Collaborating with Marketing Team for any design/communication needs
- Booking venues, entertainers, event photographers, and scheduling guest speakers/presenters when needed
- Establishing and maintaining relationships with vendors and venues
- Managing event staff assignments and delegation, as needed
- Managing processes through Salesforce database, and assisting with database tracking, entry, and management
- Assessing event success and submitting findings after every event
Food Drives
- Responding to leads that express interest on our website
- Being actively engaged in the success of food drives by managing food drives and other events with our donors and partners to provide a positive experience
- Providing encouragement, best practices, and helping with recognition throughout the food drive process
- Creating and distributing Food Drive assets to partners in coordination with the Administrative Support staff for shipping and logistics
- Distributing pre-event communications and managing the participant list
- Securing food donations for events that involve bulk donations
Trivia
- Serve as the primary host and coordinator for Trivia Employee Engagement Events
- Prepare the Trivia assets; presentations, Kahoot activation, zoom call, and other technical assets.
- Distributing pre-event communications and managing the attendee list.
- Managing event staff assignments and delegation, as needed
Other Duties and responsibilities
- Assisting with administrative tasks and document creation for events
- Coordinating logistics with internal teams to facilitate program success
- Serve as the primary host for in-person events when needed
Qualifications:
- 2 years event coordinator and/or internship management experience
- Detail-oriented and highly organized
- Self-starter with the desire and ability to work with little supervision
- Problem-solver with the ability to prioritize and manage change
- Outstanding relationship management skills, service first mindset with a white glove touch
- Effective multi-tasker with professional demeanor
- Strong communication skills, mastery in public speaking, presentation, and written communication. Keen ability to Articulate written and verbal communication when working with team members, internal support, and external supports
- CRM experience (Preferred)
- Advanced proficiency in MS office
- Experience with Classy (Bonus)
- Bachelor’s degree
- Certified Meeting Planner (CMP) designation a bonus
