Operations Manager
Position: Full-time
OVERVIEW:
Movement Strategy is an independent social media agency. Now at its 14-year, with 125 employees across offices, we produce groundbreaking content for partners including Netflix, Klarna, Amazon Prime Video, and Warner Bros.
Our Operations Manager is analytical, highly organized, eager to learn, and passionate about making the agency (or any business) run smoother. They oversee and manage the day-to-day of large-scale vendor operations, financial planning, and forecasting tools, while providing support to the Associate Director, Operations for ad hoc projects related to resourcing, tools, and governance processes.
REPORTING STRUCTURE & COHORTS
- Direct Supervisor: Associate Director, Operations
- Close Cohorts: COO, Finance, Business Affairs
KEY FOCUS AREAS
- Overseeing the operations of vendor and partner-based projects from beginning to end
- Financial planning, analysis, and forecasting
- Secondary: Ongoing support maintenance of agency Operations tool (Mavenlink)
RESPONSIBILITIES
- Manage budget allocations, forecasts, and trackers for all projects involving vendor management
- Partner with clients and talent on completion of vendor logistics and ensuring all steps are completed in advance of payment processing
- Traffic client/partner requests to internal Business Affairs for contracting needs
- Support Finance team in the invoicing process and work closely to reconcile client-budgets on a monthly basis
- Assist in forecasting fee-revenue schedules with internal Finance/Operations team
- Organize and maintain file-management systems for all contracts and payment info
- Provide client with regular updates to talent contracts and budget tracking (emails calls)
- Work closely with the Associate Director, Operations on ad hoc projects related to Finance, Business Affairs, IT, Resourcing, and/or governance processes
REQUIREMENTS
- 3 years of post-college experience in Operations and/or Project Management
- Agency experience mandatory
- A passion for learning how a business operates, and helping one scale efficiently
- An understanding of current advertising, influencer, and/or social/digital platforms
- Strong experience with MS Excel and/or Google Sheets
- Experience with Asana and Mavenlink a plus!
- Strong timeline management, communication, and organizational skills
- Ability to remain calm and collected in hectic situations, yet assertive when needed
