Position Overview
The organizational guru. The positive can-do voice who makes things happen in just the right way.
You pride yourself on your ability to think two steps ahead and to anticipate the needs of the executive leaders you are supporting prior to them even realizing the need. You understand and support their preferences and needs regarding schedules, calendars and travel.
You are extremely available and connected via email, Teams, and text, ready to send informed responses quickly. You read your audience and understand the best way to communicate. You constantly collect details of the work flowing through the agency and know the key players responsible. You have a need to know and understand the details of each project to be better prepared. You meet every request with a can-do, positive attitude. You are kind and compassionate. Bonus points if you pride yourself on knowing the newest and best restaurants for entertaining clients, knowing just the right gift to send someone for a celebration in their life, and thriving at building friendly relationships with those you interact with from the most senior to the most junior. You understand the need for confidentiality and the access you have to this type of information. You are a vault to information you may be privy to.
You effortlessly handle day-to-day administrative duties, expense reports, and complicated, ever-changing calendar and travel arrangements paying attention to detail, enhanced communication, and excellent client service.
Responsibilities
- Provide core administrative support duties to the US CEO and East President
- Help set up meetings, dinners, events and coordinate agendas
- Manage schedules in an extremely fast-paced environment
- Coordinate and manage travel arrangements, detailed instructions, and directions
- Reconcile and process expenses
- Coordinate all-agency meetings and presentation decks and other special events
- Perform additional tasks/projects as needed
Qualifications
- An outgoing, engaging personality that thrives in a creative environment
- Creative problem-solver who is comfortable owning their work and driving projects and initiatives forward
- Multitasker willing to wear multiple hats
- Organized and resourceful with the ability to prioritize
- Experience maintaining discretion and confidentiality
- Can-do attitude
- Proficient in MS Office and product suite, G-Suite, Keynote, internet software, email, and calendar apps
- Five-plus years of executive assistant experience. Agency experience is a plus.
- Prior experience required supporting senior level executives, i,e CEO, COO, CCO
- Work is regularly performed in a professional office environment and routinely uses standard office equipment. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job

The salary range for this position is $65,000 to $95,000. Where an employee or prospective employee is paid within this range will depend on, among other factors, actual ranges for current/former employees in the subject position; market considerations; budgetary considerations; tenure and standing with the company (applicable to current employees); as well as the employee’s/applicant’s background, pertinent experience and qualifications.
