Naples Botanical Garden is a 170-acre world-class paradise, featuring the flora and cultures of the tropics and sub-tropics including Brazil, the Caribbean, Southeast Asia, and Florida. The Garden’s mission is to connect people and plants through display, education, conservation, and applied science. The Garden has beautifully restored native habitats, cultivated gardens, walking trails, and public programming that offer education and enjoyment for people of all ages. Naples Botanical Garden is a 501(c)3 organization.
Position Summary: This full-time position oversees and manages the administration, reporting, tracking and compliance of Garden grants, contracts, MOU’s and Capital projects. This may be a primarily remote position, with quarterly in-office visits of at least one (1) week required to confer with staff. Reports to the Director of Finance.
Requirements
Primary Duties and Responsibilities
- Contract and Grant Management
- Logs and tracks all grants, contracts and MOU’s for the Garden. Maintains a calendar of terms and conditions, notifying interested parties of auto-renewals and terminations at least 60 days in advance.
- Is responsible for budgetary compliance, expense tracking, payment/re-imbursement invoicing, and reconciliation of revenue versus expense. Provides the Director of Finance with necessary information to reconcile the general ledger.
- Is responsible for regulatory compliance that includes but is not limited to providing grantors and funders with Garden forms such as Tax-Exempt certificate and 501c3 designation letter; collaborates with HR to maintain insurance and personnel compliance; ensures all certifications, documents, and reporting are maintained and submitted on time.
- Collaborates with program staff to produce required outcomes reporting.
- Provides Grant Writer with necessary financial and administrative information needed for funding requests and renewals.
- Capital Projects
- Tracks and maintains status reports of all Garden capital projects, to include request, approval, budget, expenses, contributions, payments, and change orders. Provides the Director of Finance with necessary information to reconcile the general ledger.
- Collaborates with Garden staff to ensure all projects are on schedule and budget.
- Reconciles payment requests against budget and funding.
- Compliance Support
- Supports the Director of Finance with Garden-wide insurance and reporting compliance.
- Department Support
- Support department by performing tasks as directed by the Director of Finance. Duties may include supporting A/P and purchase card entry and approvals, entering month-end journal entries, running and distributing month-end reports, reconciliations, and other duties as assigned.
- Additional Responsibilities
- Performs additional responsibilities as requested.
Minimum Knowledge, Skills, and Abilities:
- Advanced understanding of usual business practices and GAAP rules and regulations
- Excellent attention to detail
- Organized, able to prioritize and manage time effectively, able to work independently
- Ability to communicate clearly, concisely, and accurately both orally and in writing
- Ability to develop and maintain positive and effective working relationships with other staff, clients, vendors and the general public
- High level of accuracy and good proofing skills
Qualifications
- Associate degree required. Associate or Bachelor degree in accounting, finance, or business administration preferred
- 2 - 4 years’ experience with similar functions
- Proficient with Microsoft Office (Excel proficiency required, pivot table, formulas, etc.)
- Knowledge of Sage Intacct software highly preferred
- Understanding on import/export of csv files
- Excellent verbal and written communication skills
- Ability to use standard office equipment (copier, scanner, etc.)
- Work is primarily sedentary in nature, no special demands are required
- A pre-employment background check required
