Position Summary

In this role, you will provide administrative support to the Vice President of Strategy & Business Transformation (SBT) and the SBT team members.  SBT’s primary responsibilities include driving the process to set and execute on enterprise strategy and managing the execution of transformative initiatives including improving and automating of our business processes. 

Providing all levels of administrative support to the team, you will interface with management, information technology and business employees across the company in the context of your work.  This is a critical role in providing administrative support to SBT.  We are looking for a person who has strong communication skills, shows attention to detail and numbers, is efficient with technology and can prioritize and multi-task. 

 Key Responsibilities

  • Provides timely and effective ongoing administrative support and assistance to the VP
  • Partners with the SBT leadership team on department and company-wide projects, initiatives and other needs
  • Composes, edits, checks numbers and proof-reads reports, presentations and other communications
  • Acts as a spokesperson for those being supported by building rapport between the leadership team and all facets of the business as necessary
  • Arranges and coordinates department events, travel and lodging for the VP and SBT team members
  • Efficiently schedules meetings and other calendaring responsibilities working in cooperation with other administrative assistants across the company
  • Helps with the management of project and initiative budgets and financials
  • Assists in recruitment coordination and onboarding for new employees
  • Expense report preparation
  • Provides support to committees: Scheduling meetings, preparing agendas and distributing materials
  • Performs a wide variety of projects and related work as required
  • Office logistics including: ordering of office supplies, distributing mail, maintenance and IT requests
  • Coordination and participation in learning organization

 Job Requirements

  • 3 plus years of Administrative Support experience with a demonstrated record of success
  • College degree preferred
  • Efficient in Word, Excel, Outlook, video conferencing and PowerPoint
  • Ability to communicate effectively, both verbally and in writing to a diverse population inside and outside the organization and be able to handle sensitive and confidential situations
  • Able to organize, plan, prioritize, and coordinate own work
  • Able to work easily with and interpret numbers and calculations
  • Able to multi-task and work with frequent interruptions.
  • Work independently, with a high level of dependability, consistency and commitment
  • A general knowledge of insurance operations a plus
  • Must display a high level of initiative and anticipate the needs of the executives
  • Must be able to successful pass a background check
