Job Summary :
The Maintenance Clerk is responsible for the administrative tasks associated with plant maintenance activities and serves as a backup to the site administrative assistant.
The Clerk ensures a smooth flow of information, supporting the efficient execution of maintenance activities.
Key Responsibilities :
- Process purchase requisitions and goods receipts.
- Enter data from maintenance execution activities into SAP and other site computer systems.
- Communicate maintenance data to relevant roles for potential improvements in master data, planning, or reliability functions.
- Manage the process to update maintenance procedures and equipment files.
- Assist with shipping, receiving, and storeroom management tasks, including loading / unloading trucks, inspecting materials received, confirming receipt of goods / services, inventory cycle counts, etc.
- Assist with ordering Maintenance, Repair, and Operations (MRO) items.
- Support the maintenance team with job planning, kitting, and staging activities.
- Assist with SAP training and troubleshooting.
- Input maintenance mechanic work order feedback into equipment history in SAP.
- Follow up with vendors regarding shipment or return of items.
- Research miscellaneous items as requested, find best value, and contact vendors.
- Understand site cost centers and add settlement receivers into work orders.
- Act as primary backup for the office administrative assistant.
- Audit the SAP work order database and work with site Maintenance Planner / Scheduler to close out all completed work orders.
- Ensure compliance with Process Safety Management (PSM) standards, manage, and update all data and work order history in SAP.
- Help develop weekly planned maintenance schedule and priorities.
- Become MERI qualified for Site Receiving receive and inspect materials, including movement to the point of use or storage.
- Package and ship items via FedEx or TQL as needed.
- Run site errands as needed.
- Provide site support for computer and printer-related issues.
- Inventory and stock office supplies as needed.
- Maintain supplies inventory by checking stock, placing and expediting orders, and verifying receipt of supplies.
- Compile data from vendor invoices to verify billing accuracy and ensure receipt of ordered items.
- Work with site staff to keep the Cost Tracking Sheet updated and accurate.
- Communicate cost tracking updates to the site maintenance manager or plant manager.
- Work closely with the site Maintenance Manager to achieve the Facilities and Maintenance Department's objectives.
Qualifications :
- High School Diploma / GED equivalent.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and Google Suite.
- Strong verbal and written communication skills.
- Willing and able to wear required PPE (steel toes, hardhat, protective eyewear, etc.).
- Physical ability to climb stairs and ladders, stand, walk, stoop, bend, kneel, crawl, reach overhead, and hear / respond to alarms.
- Current and valid driver's license; willingness to obtain powered industrial truck certification.
- Willing to learn new skills and expand responsibilities.
- Ability to lift up to 50 pounds.
- Willing to work at heights and in a high hazard environment, outdoors and indoors.
- Willing to wear PPE (steel toes, hardhat, protective eyewear, face mask, chemical suits, thermal suits, respirators, etc.).
Preferred Skills :
- Experience with SAP or equivalent Manufacturing Operations software.
- Experience operating fork trucks.
- Experience with data entry activities.
- Experience with warehouse and / or storeroom activities.
- Knowledge and / or experience with industrial maintenance.
