Position Summary:
Under the general supervision and direction of the Sr. Vice President of Development, the Assistant Director of Development Operations provides leadership and management of the development operations team and strategic support for fundraising and special projects.

Primary Responsibilities:
  • Team Management and Leadership
  • Provide leadership and support of the development operations team consisting of development coordinator and prospect management staff members, including remote and hybrid workers
  • Foster a positive work environment, characterized by open communication, collegiality, support, accountability, and motivation to optimize staff performance, satisfaction/morale, and retention
  • Communicate, support, and apply Foundation policies and strategies in collaboration with team members to facilitate achievement of development goals
  • Function as development liaison with other departments within the organization and coordinate division of workload under the direction of management
  • Review, develop and maintain policies, procedures, and best practices for development operations, and development department as assigned
  • Assist with the hire, training, and advancement of development operations team, encouraging an appropriate level of independence supporting professional growth
  • Work independently and within a team on special nonrecurring and ongoing projects and respond to and/or direct inquiries to appropriate staff and provide follow-up as needed
  • Provide backup support and assistance as needed to support the Development Coordinator and Prospect Management functions
2. Oversee Prospect Management Support and Functions
  • Supervise prospect management’s support and functions in development through collaboration with prospect management, managing directors of development and senior vice president of development.
  • Facilitate the review, development, and communication of prospect management policies and procedures for efficiency and compliance
  • Implement prospect management best practices and move management guidelines in collaboration with team members to assist directors of development in managing their major gift portfolios and attainment of development goals
  • Collaborate with Information Services to recognize and utilize the various software platforms (Raiser’s Edge/NXT/Fundraiser Performance Management/iWave, etc.) available for reports, projects, and portfolio reviews
  • Confirm review of action reports, opportunities, and other prospect data to ensure accuracy and data integrity. Ensure gifts received are linked to fund appropriate opportunities and monthly reports requested are timely and accurate
3. Manage Development Coordinator Support and Functions
  • Supervise support and functions of development coordinators for the development team through collaboration with development coordinators, directors of development, managing directors of development and senior vice president of development
  • Assist with review, development, and communication of development coordinator’s support for directors of development through day-to-day and monthly activities to enhance their fundraising efforts and build enduring relationships
  • Collaborate with Development Coordinators for the on-boarding and off-boarding process of development team members, partnering with Human Resources, the supervisor, and/or other direct support within the development department
  • Confirm completion of timely and accurate expense reports for directors of development and development coordinators
4. Other duties as assigned

  • Efficiently operate a personal computer and associated software (Outlook, Word, Excel, etc.)
  • Maintain files accurately, in paper and in software programs
  • Maintain records and prepare reports

  • Plan, prioritize and meet deadlines
2. Establish and maintain positive working relationships with others both internally and externally to achieve the goals of the organization

Minimum Qualifications:
  • Bachelor’s degree or equivalent related experience
  • 3-5 years of administrative, project management and systems support, including high-quality of customer service skills
  • High level of professionalism and discretion with confidential information
  • Effective oral and written communication skills
  • Strong organizational and time management skills
  • Ability to be flexible, proactive, and resourceful
  • Ability to prioritize
  • Proficiency with technology to include Microsoft Office Suite
  • Evidence of effective team building skill
Preferred Qualifications:
  • Experience within a fundraising environment
  • Experience within a higher education environment
  • Proficiency with Blackbaud Raisers Edge/NXT donor records management
Physical and Mental Demands:
Constantly operates a computer/smartphone/tablet. Regularly required to maintain a stationary position, move about the office, determine what others have said or written, critical thinking and converse with others and exchange accurate information. Regularly required to sit, stand, bend, reach, and move about the office and within the community. May also include occasional bending, stooping, squatting, and/or pushing and pulling or moving objects. Occasionally required to move, raise, reach and/or retrieve binders, books, boxes, and files up to ten (10) pounds.
