The Nest model is inspired by Alaska’s Southcentral Foundation Nuka System of Care and is differentiated from typical primary care on multiple axes, including:
- Care delivered to the family unit or household, rather than delivered disparately to individual family members
- Value-based care that goes beyond medical care, with a focus on supporting families by doing what is right for them rather than what is billable
- An in-home, full service experience that does not require busy families to travel to different locations for care, juggle child care, or arrange transportation
- 24/7 access to the Nest team, including same- and next-day virtual & urgent appointments instead of just standard office hours
- An integrated care team, hired from the communities we serve, that includes clinically trained community health workers, licensed social workers and registered dieticians working alongside pediatricians, and family practice providers

Role Summary
The Office Manager & Executive Assistant will play multiple roles during Nest Health’s pre-launch phase, including helping set and cultivate local and extended team culture; ensuring team readiness to conduct visits and meet patient needs, including managing initial onboarding; preparing New Orleans office set up, equipment, hardware, and supplies; managing vendors and basic IT; handling other implementation and operations projects and tasks assigned; and acting as air traffic controller for the CEO and leadership team through effective schedule management, travel planning and other administrative support. You will need to effectively toggle regularly between local physical space activities and national virtual responsibilities.
Accountabilities & Outcomes
- Understands CEO and leadership team priorities and manages schedules and triages appointments accordingly
- Ensures meeting materials are disseminated
- Handles complex travel arrangements and processes expense reports for leadership team
- Ensures accuracy of mileage reports and and in/out schedule for market-based team
- Processes payroll for non-exempt employees
- Assists with administrative tasks related to licensing, credentialing, background checks
- Plans and arranges team meetings and offsites
- Acts as a local culture leader, organize regular team events, including virtual events to engage remote employees and connect local and remote team members
- Assists with new hire orientation and administrative duties related to employee onboarding and terminations
- Sets up the New Orleans office, including hardware, equipment, administrative and medical supplies
- Manages the office front desk by assisting employees, vendors, building maintenance, and manages mail and packages (including outbound mailings)
- Maintains appearance of common areas and meeting spaces, manages supply orders, inventory, kitchen refreshments
- Maintains office policies around business continuity planning; manages security cards and visitor logs; responds to alarms and emergencies
- Provides general administrative support and handles other duties as assigned

Required Experience & Qualifications:
- High school diploma (or GED)
- 3 years experience as executive assistant, office manager or event planner
- Experience with MS Office/Google tools
- Experience working as a virtual assistant
- Experience with basic IT support
Preferred Experience & Qualifications
- Some college or BA
- 5 years experience as executive assistant, office manager, event planner or related position
- Experience working in a start-up environment
- Experience managing people and teams
- Experience with Slack, Notion, social media and other similar communication and efficiency tools
Travel & Physical Requirements
- This is a New Orleans based role, but very occasional travel may be required
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times
