Department Overview:
The Americas Division (“AD”) was established in the Trust Bank, Limited, New York Branch to perform corporate functions and supervise U.S. entities. Established under the AD are the “Global Banking Unit (“GBU”), Americas Division” and “Global Markets Unit (“GMU”), Americas Division” which performs business functions. The Human Resources Department (“HRD”) provides services and guidance to the Bank in order to attract, retain, and motivate employees who will provide high quality services. In addition to the department’s daily operations, guidance and direction is provided to Head of Departments and Senior Management in order to maximize efficient use of human capital while protecting SMTBNY from employment-related legal risks.
Position Overview:
Responsible for ensuring the timely and accurate delivery and accounting of all employee compensation through payroll. Understands statutory requirements and tax issues related to payroll. Manages internal accounting and expense reporting to prepare documentation for other departments in the Bank. Liaisons with USA and Japan Home Office for payroll and expense reporting.
Duties and Responsibilities:
- Responsible to complete the entire payroll process for US Payroll, including local and expatriate payrolls, as assigned. Reviews payroll processing for payrolls that were processed by another HRD staff. When completing the payroll, the position does not act as a checker for the payroll.
- Prepares monthly Personnel Expense Reports and other monthly, quarterly, and annual financial reports, as assigned. Prepares or reviews general ledger tickets and reconciliation of Chase and Citibank accounts. Prepares reimbursements for local and expat payrolls. Process entries, changes, and vendors in QuickBooks when not processing the payroll. Funds all processes related to payroll transmission, including 401(k), NQDC, and HSA.
- Administers the HRIS, including managing vendor negotiations for pricing and selecting appropriate services. Ensures data accuracy on ADP Workforce Now, diagnoses issues and recommending solutions. Maintains data on ADP Workforce Now System and produces HR/pay data reports.
- Acts as a back up system administer for all HRD-owned systems, including learning management, employee recognition, desk reservation, background checks, etc.
- Prepares and handles billing invoices for the Department.
- Processes assigned projects such as digitalization of past payroll and benefits documents.
- Assists with department vendor management processing.
- Prepares and maintains spreadsheets and other documents for a variety of HR operational functions.
- Maintains Payroll-related sections of the HRD Procedure Manual.
- Assists with all events run by HR including Wellness Activities, Health Fairs, Corporate Challenge, Holiday Party, December 24th Party, etc.
- Performs other duties and responsibilities as assigned by management.
Knowledge, Skills, and Abilities:
- Bachelor’s degree in Human Resources Management or equivalent with 2 years related experience.
- Good computer skills in ADP Workforce Now, QuickBooks, Concur, and Microsoft Office.
- Good oral and written communication skills.
- Excellent interpersonal skills.
- Good organizational, multitasking skills, analytical skills, and detail orientation.
