New Bern Civic Theatre is looking for an innovative and strategic leader to join their talented team in the role of Executive Director. Reporting to the Board of Directors, the new Executive Director will serve in both an executive and artistic capacity.
Who is New Bern Civic Theatre?
The New Bern Civic Theatre is the premier storyteller and entertainment magnet of
Eastern North Carolina. The Civic inspires our audiences and longtime theatre patrons with the visceral power of live theatre, produced entirely by our community.
Our venue, the historic Athens Theatre, is located in the heart of Downtown New
Bern. By producing some of the best local theatre in North Carolina, we’re leading a new culture of theatre-going on the coast of North Carolina. With our newly renovated rehearsal space and theatre, supported by our outstanding community, the New Bern Civic Theatre is positioned to become the national standard of community theatres.
What will you do?
Working in conjunction with the Board of Directors, the Executive Director (ED) will be responsible for the strategic leadership of the organization, as well as, be an artistic and business advisor to the theatre. The ED will maintain partnerships between staff, board, and community volunteers in order to strengthen and grow the position of the Civic for its future. The ED will also facilitate an environment of collaboration and excellence for its staff, board, and artists. The ED serves as the face and ambassador of the Civic Theatre to the community and surrounding areas. The
ED will work directly with the Office Manager and Volunteer Coordinator in efforts of fundraising, management, financial planning, and artistic endeavors. As such, the
Executive Director will be responsible for all aspects of the organization, both executive and artistic.

This position is ideal for an upcoming leader in theater and the performing arts who wants to make a strong impact on the community surrounding the Civic Theatre. The new Executive Director is a jack of all trades. They seek to balance the business of the theatre while keeping the New Bern Civic Theatre a staple of fun and excellence.

This person will be an advocate for the theatre and the arts community in Eastern
North Carolina.
Preferred Experience and Education:

Job Description
Job Title: Executive Director
Reports To: Board of Directors
Supervises: All staff members, artists and volunteers
Desired Experience and Education:
- BFA in Theatre, Theatre Management, or Performing Arts is preferred; however a 4-year degree with relevant experience is required
- Experience running a nonprofit organization or equivalent
- Professional and community theatre experience or equivalent
Responsibilities:
The Executive Director is the chief executive officer of the organization and is responsible for conducting business in an efficient and effective manner, in accordance with policies set by the
Board of Directors. The Executive Director conceives, develops, and implements the artistic vision and focus of the organization, and is responsible for major decisions about the ongoing development of the aesthetic values and activities.
Duties:
Financial management:
- Manage the organization in a fiscally responsible manner, within the budget approved by the Board of Directors
- Utilize the bookkeeper to ensure: o the financial management system provides auditability and accountability o accurate and timely reports are available that reflect the financial health of the organization as specified by the Board of Directors o ticket system data and financial system data are accurate
- Prepare budgets that are reasonable and accurate to meet the requirements of the planned productions and review with the Board of Directors
- Assure that all bills are paid on time
- Assure prompt payment of all payroll taxes and preparation of year-end reports to all required government agencies
- Assess and bring to the attention of the Board any areas that would improve financial reporting, with specific suggestions for improvement
- Manage major fundraising efforts
Personnel management:
- Hire and supervise any employees and contractors for positions approved by the Board
o Ensure that all necessary paperwork is completed for vendors and independent contractors
- Ensure that all written policies and procedures are implemented and make recommendations for revisions
- Manage staff by reviewing job responsibilities specific to each position in the Theatre o Review job performance periodically with employees offering suggestions for improvement for the employee and the Theatre
- Maintain and grow a system for attracting, utilizing, and retaining NBCT volunteers o Include coordinators at appropriate levels to best utilize volunteers o Maintain and grow a database of volunteers with current contact information
- Manage volunteers in a friendly and cooperative manner that encourages them to continue volunteering at NBCT
- Maintain a calendar for staff coverage during theatre office hours
- Plan for and review staff compensation with the Board that are within budgeted compensation levels established.
- Ensure proper maintenance and security of the theatre property and equipment
Productions:
- Ensure a high standard of quality for each production
- Work with Volunteer Directors and Producers in adhering to set production plan procedures and schedules o Ensure that the production budget is understood and adhered to o Ensure that the set production schedule is understood and adhered to o Work out any issues that may be unique for any one specific production making sure all Theatre Policies and Procedures are followed o Help balance competing demands of the actors, directors, production personnel, and patrons o Arrange for any off-site space needed
- Work with Talent Coordinator in booking stand alone professional acts and negotiating contracts with respective agents
- Resolve any production problems amicably with all parties o Ensure that production leaders are using good judgment in their decisions with the production teams o Ensure standards of acceptable behavior with all production team members in accordance with NBCT Adult/Youth Engagement Policy
Artistic:
- Research and recommend shows to present to the Board for their input and approval on the upcoming season
- Select directors for upcoming season
- Negotiate and execute all contracts with show licensing companies
- Assist in building production team to include but not limited to producer, costume designer, set designer, stage manager, and musical director, etc., if needed
- Sit in on auditions and assist with casting, if needed
- Provide assistance for rehearsal schedules and space, if needed
- Oversee shows and work with the individual directors as needed depending on experience and skill sets
- Seek out and provide procedures for new directors
- Oversee productions for compliance with policies, as well as ensuring that productions meet NBCT standards
- Work with teams to ensure top quality in collaboration with director and producer
- Conduct post production meetings and evaluations with director and producer to determine what went well and what needs improvement
Marketing and Public Relations:
- Maintain efficient box office procedures and customer service
- Follow and refine written marketing plan that assesses current and target markets and identify strategies for Season Tickets and Individual Ticket sales.
- Annually review ticket prices and options for ticket sales that meet budget requirements and allow flexibility for the patrons, ensuring realistic income goals as part of the budget process
- Maintain annual public relations plan
- Arrange for the marketing of productions, special performances, workshops, camps and the like.
- Arrange for advertisements, brochure, and media buys
- Manage production and distribution of promotional materials in collaboration with
Volunteer Coordinator
- Review with Board President all matters affecting policy and release only statements that represent the view of the Board
- Develop good working relationships with funders, individual donors, sponsors, and partners
- Help writing funding applications and procure financial backing from donors and sponsors
- Acknowledge donations as required
Other Duties:
- Attend Board and Committee meetings as requested
- Time Management o Work with staff and Volunteer Coordinator to delegate as much as possible to staff and volunteers to free up your time for Theatre Management Responsibilities
- Take advantage of learning opportunities to grow management skills o Financial management o Personnel management
- Create and implement strategies to educate the public about New Bern Civic Theatre o Represent NBCT at other organizations
Knowledge, Skills, and Abilities:
- Familiarity with theatre operations mandatory
- Strong entrepreneurial self-starter, motivated, and enthusiastic
- Excellent written and oral communication skills. Good command of spelling, grammar, and vocabulary. Good interpersonal skills. Strong communicator and good listener.

- Computer literacy. Knowledge of computer hardware, software, and peripherals
- Ability to work in a hands-on environment with limited resources and handle the stresses of the workplace as well as tight deadlines
Employment Terms:
