Job Description:
We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will be proactive, resourceful, and capable of managing multiple tasks with efficiency and professionalism. This role requires exceptional communication skills, both written and verbal, as well as the ability to maintain confidentiality and handle sensitive information with discretion.
Job Duties:
- Manage and maintain executive schedules, including arranging meetings, appointments, and travel itineraries.
- Screen and prioritize incoming communications, including emails, phone calls, and correspondence.
- Prepare and edit documents, presentations, and reports for internal and external distribution.
- Coordinate logistics for meetings, conferences, and events, including venue booking, catering, and audiovisual setup.
- Conduct research and compile data to support executive decision-making and project management.
- Assist with project coordination and follow-up, ensuring deadlines are met and objectives are achieved.
- Act as a liaison between executives and internal/external stakeholders, fostering positive relationships and facilitating communication.
- Handle confidential information with integrity and discretion, maintaining a high level of professionalism at all times.
- Perform ad hoc tasks and projects as assigned, demonstrating flexibility and adaptability in a dynamic work environment.
Prior Qualifications:
- A sports background or experience working on teams is preferred.
- Proven experience as an executive assistant or similar role, supporting senior-level executives in a fast-paced environment.
- Exceptional organizational skills and attention to detail, with the ability to prioritize and manage time effectively.
- Strong written and verbal communication skills, including proficiency in grammar, spelling, and punctuation.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
- Excellent interpersonal skills, with the ability to interact effectively with individuals at all levels within and outside the organization.
- Resourcefulness and problem-solving skills, with the ability to anticipate needs and proactively address issues.
