Description

Responsible for all areas of the front office. Assist with patient registration forms. Collects copays deductibles, coinsurance Answers incoming phone calls telephones. Entering charges, verifying coverage, balancing at the end of each work day while utilizing Micro MD EMR Reports to: Operations Manager

Requirements

  • Provides general information as requested.
  • Takes phone message when appropriate
  • Check throughout the duration of the day for faxes, and distributes to its appropriate department.
  • Takes phone message when appropriate, including:
  1. Caller’s name
  2. Reason for call
  3. Phone number where caller can be reached
  4. All pertinent information required for pharmacy script verification.
  • Checks patient in a timely manner notifies back office if assistance is required for fast registration process.
  • Prints superbill and reviews EMR pending charges.
  • Audits EMR medical records to assure procedures match at the end of work shift and/or when needed.
  • Prepares recap and census sheets as required by management with no discrepancies.
  • Receipt all over-the-counter payments.
  • Assures special codes are entered in EMR for back staff such as Self Pay, Aetna, Amerigroup etc.
  • Balance charges, payments from superbill and post/verifies charges with daily report.
  • Prepares medical records for faxing electronically via Micro MD EMR to PCP office before end of shift.
  • Performs daily reconciliation of payments and adjustment posted against sign in sheet, super-bill and Micro MD correcting any discrepancies prior to the daily close including batched credit card balancing.
  • Check through out the duration of the day for faxes, and distributes to its appropriate department
  • Performs other duties as assigned during “down” times, i.e. filing, light typing, prepare new patient packets, etc.

Qualifications Required:

  • Ability to effectively handle patient related issue with care and compassion
  • Experience as receptionist preferable -meeting the public
  • Ability to work well with others, tact and diplomacy.
  • Neat penmanship.
  • Demonstrates ability to obtain and analyze facts and apply sound judgment.
  • Enthusiasm shown for job and loyalty to employer.
  • Verbal abilities are needed to apply rules of grammar and spelling and to converse effectively.
  • Courtesy required to deal tactfully with people.
  • Possession of personal qualities which make it possible to maintain good interpersonal relationships. For example: Kindness, sympathy, understanding, loyalty, interest and respect for people, good judgment, and a sense of humor.
  • Shows effectiveness and efficiency in planning own work.
  • Preference for dealing with people in business situations, requiring communication with individuals in collection matters.
  • Numerical ability required to make arithmetic computations either with or without adding machine.
  • Tact required for work situation that involves dealing with patients to secure payment of accounts

Qualifications Required

Training & Education:

  • Graduation from high school.
  • Typing courses or experience.
  • Basic filing knowledge.
  • Medical office experience preferred.

Knowledge & Skills:

  • Good knowledge of Microsoft outlook /excel/ word
  • Good command of the English language (written and verbal);
  • Good professional writing skills
  • Have at least one year of typing skills; requires dexterity to type 50 wpm.
  • Front office experience required, minimum of one year.

Physical Requirements:

  • Requires prolonged sitting, some bending, stooping, and stretching.
  • Requires the ability to operate a PC and keyboard, photocopier, telephone, calculator and other office equipment.
  • Requires lifting papers or boxes up to 20-30 pounds occasionally.
