Reports to the OA Manager and CTS Manager and is an hourly, non-exempt position. Performs complex administrative tasks using a personal computer. Coordinates office services and administrative activities for Job Corps center; interprets operating policies and Core Values; exercises independent judgment in the resolution of administrative problems. Demonstrates on-going commitment to preparing young people for the workforce by modeling, mentoring, and monitoring excellence in the eight Career Success Standards of: workplace relations and ethics; information management; communications; multicultural awareness; personal growth and development; career and personal planning; interpersonal skills and independent living.
DUTIES AND RESPONSIBILITIES:
- Demonstrates and abides by Odle Core Values and operating principles.
- Type business letters, memorandum, reports, charts, etc. on a personal computer.
- Composes and prepares routine correspondence for signature.
- Independently prepares recurring reports, charts, etc. on a personal computer.
- Sends and retrieves messages via E-mail.
- Faxes and retrieves incoming messages on a regular basis.
- Performs system back-up procedures on the computer.
- Maintains a safe environment for all equipment, data files, and supplies.
- Attends meetings and conferences to furnish information and take notes.
- Arranges for meetings and conferences.
- Assists the Manager with preparations and arrangements for special events.
- Establishes and maintains confidential files and records.
- Proofreads and corrects grammatical, punctuation and spelling errors.
- Answers telephones and directs calls to appropriate person. May handle routine calls if informative on subject.
- Orders necessary office supplies and equipment.
- Operates office machines and instructs others in the operation of same.
- Assists in the training of new clerical personnel.
- Performs data entry and quality control of all placements.
- Ensures secure storage, tracking and distribution of assignee final transition checks.
- Ensures secure storage, tracking and distribution of assignee incentives (gift cards and bus passes).
- Distributes mail to the department.
- Maintains postage machine, orders service when necessary and is POC for mailing company. Ensures postage is ordered and funds are deposited and available.
- Maintains copier and orders service when necessary. Serves as POC for copier company.
- Maintains archives for on-site file storage.
- Maintains department calendars including staff PTO tracking.
- Attends required staff training sessions.
- Clearly communicates and consistently models appropriate CSS and employability skills including personal responsibility and computer fluency.
- Maintains accountability of staff, students, and property, adheres to safety practices in all areas of responsibility.
- Cultivates and maintains a climate on center that is free of harassment, intimidation, and disrespect to provide a safe place for staff and students to work and learn.
- Performs other duties as assigned.
EDUCATION AND EXPERIENCE REQUIREMENTS:
- High School diploma with at least three years practical experience preferred.
- Valid driver’s license with acceptable driving record preferred.
Additional Requirements: Ability to perform administrative duties without immediate and constant supervision. Ability to type accurately at a fast speed. Proficient in the use of a personal computer; working knowledge of software applications such as MS Word, Excel. Thorough knowledge of office procedures. Good organizational skills. Ability to deal effectively with the public and government officials. Sound business telephone techniques. Ability to proofread, and correct grammatical, punctuation and spelling errors. Ability to communicate effectively and relate to the trainee population. Position requires an ability to operate office equipment. In addition, an individual must be able to interact with team members and maintain an effective working relationship with all facility staff and departments.
Pay starting at $16.20 per hour
