Job Description
As Northrop Realty’s Executive Assistant, you provide executive support to all Executive Leadership members. Your seamless communication skills and ability to efficiently prioritize priorities and handle confidential and complex situations with ease enhances the operational effectiveness of our Executive Team. You are a liaison to members of the brokerage, organize and coordinate executive outreach and external relation efforts, and oversee special projects. From information gathering to tracking project timelines to driving initiatives to completion, you play a key role in the success of our brokerage.
Essential Functions:

Provides administrative support to members of our Executive Team, including management of phone calls, emails, preparing expense reports, arranging business travel, and other necessary support.
Proactively manages both personal and professional calendars, travel, and email for Co-CEOs, assisting with other calendars as requested.
Provides a gateway for direct access to the CEO’s time to ensure maximum productivity.
Confers with our Executive Team daily to ensure awareness of calendar priorities and update as needed.
Plans, coordinates, and executes all aspects of business/team meetings and off-site meetings.
Coordinates maintenance requests and facility issues; works with approved vendors.
Prioritizes and manages multiple projects following through on issues in a timely manner.
Facilitates meetings by creating presentations, structuring agendas, taking notes, and organizing work streams.
Anticipates needs intuitively and be proactive with solutions, adapting to changing needs.
Supports actively posting on Social Media outlets.
