SUMMARY
Performs clerical duties to assist parts managers.
Responsibilities/Duties
ESSENTIAL DUTIES
Essential Duties include the following. Other duties may be assigned.
- Attaches all PO’s to outside purchases daily.
- Posts all outside invoices daily.
- Authorize all PO’s and input accounting on a daily basis.
- Processes and sends morning and afternoon special order parts orders to Ford.
- Prepares daily bank deposit ensuring deposits and credit card sales balance with daily report.
- Submits daily deposits and credit card sales to the Accounts Receivable clerk.
- Prepares weekly reports for Core Returns.
- Prepares weekly reports for returning parts to Ford warranty return and full service warehouses.
- Prepares and researches weekly negative on hand reports.
- Issues purchase orders and invoices for outside repairs or additional equipment on stock units.
- Maintains a professional appearance.
- Keeps work area neat and clean.
- Performs other duties as assigned.
Required Skills
LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to other employees of the organization.
MATHEMATICAL SKILLS
Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals on an adding machine. Ability to compute percentage rates and commissions on an adding machine.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written or oral form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to pay close attention to detail when conducting all essential duties.
Required Experience
EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED) and one to two years related experience. Proficient in Outlook. Proficient in ten key by touch. Comprehends basic accounting principles of credits and debits.
