Commercial Account Coordinator

** This position is 100% remote **

The Commercial Account Coordinator supports management to include assistance with special projects. Requires direct communication with key customers along with administrative and accounting duties both internal and external. The Commercial Account Coordinator will focus on research and problem solving of accounts receivable and serve as a liaison between the customer and port offices ensuring account accuracy.

Summary of Objectives:

• Respond to all principal/customer inquiries in line with Corporate Operations Manual Policies or Principal Governing Working Instructions.
• Assist in email management.
• Handle requests for information and data.
• Resolve administrative problems and inquiries.
• Prepare written responses to routine inquiries.
• Assist with special projects as directed by management.
• Prepare and modify documents including correspondence, reports, drafts, memos and emails.
• Ensure availability and response to phone and email inquiries from all internal and external customers in a courteous and professional manner.
• Reconcile systems to ensure accuracy and ensure customer expectations met; record reasons for changes/amendments.
• Update systems as required.
• Prepare and transmit estimates of port costs; with help from local port office/s.
• Complete and follow-up pro forma requests.
• Reduce operational service failures: Enhanced focus on job setup, vendor selection and job specific instructions.
• Decrease labor commitment needed from port operations staff towards administrative tasks.
• Increased attention by port staff on charterers activities.
• Expedited collections: Better, more accurate and concise DAs.
• Faster DA turnaround with fewer supplementals.
• Complete advances: decreased variance between advance and total disbursements.
• Establish ability to track and maintain job records, number of crew, CTMs etc.
• Work with Commercial Manager to establish KPIs for future husbandry solutions personnel.
• Work with management to establish foundation for husbandry solutions activities at ports.

Requirements:

• High school diploma or general equivalency.
• Bachelor’s degree in Business, Marketing, or related field; preferred.
• 1-2 years of functional experience in Customer Service (retail, sales, call center, etc.), and /or Data Entry.
• Experience in transportation industry; highly desired.
• Ability to work collaboratively with colleagues to create a results-driven, team-oriented environment.
• Verbal and written communication skills (written & verbal with emphasis on details).
• Working experience with Microsoft Office – Outlook, Teams, Excel, and Word.
• Familiarity with Agency Now, Fairwater, PAS and Collaborate software; preferred.
• Must show initiative, and above all a willingness and desire to learn and be involved in something new
• Organizational and time management skills; multi-tasking and prioritizing is required.
• Detail and result oriented.
• Reliable transportation.
• Ability to remain sedentary for extremely long periods of time
• Reliable transportation and the ability to work in-office as required

General office setting, typically the employee may sit comfortably to perform the work, usually at a computer terminal – with short breaks or lunch period. However, there may be some bending/stooping, reaching above shoulder level, walking, standing, carrying of light items such as papers, books or packages of up to 25 pounds. Should be able to hear and speak clearly using phone/headset to communicate with customers; be able to navigate, view and enter information into the computer. Must be able to work flexible shifts including evenings & weekends, on call as needed.
