Essential Responsibilities
- Managing and assisting with the process required to manage and maintain accurate inventory information, including:
- Participates in the inter-company transfer process, including the entry of work orders, purchase orders and scheduling.
- Identifying discrepancies or potential problems with acknowledgments, packing lists, shipments or invoices and resolves any questionable charges or discrepancies.
- Participates in the process of “rework” purchase orders.
- Working with product managers, buyers and vendors to resolve quality and discrepancies issues
- Check acknowledgements, packing lists and invoices and works with appropriate buyers and vendors to reconcile discrepancies.
- Works with Empire’s receiving departments to finalize the resolution of damage claims, quality issues and discrepancies, etc.
- Managing accurate Estimated Time of Arrival (ETA) information
- Contacts vendors to verify and update delivery information.
- Follows up on late shipments and/or deliveries
- Updates delivery and ETA information as required.
- Checks ETA changes on a weekly basis for “reasonableness” and notifies buyers of potential problems.
- Monitors and closes “open purchase orders” with back orders Empire will not receive.
- Providing for miscellaneous administrative requirements, including
- Participates as a backup operator for answering telephones, as needed.
- Enters purchase orders as directed.
- Provides back up for the other procurement administrators.
- Obtains and/or provides packing lists to Operations when requested.
- High School Diploma
- One to three years’ experience in purchasing or related administrative functions
- Proficiency in Microsoft Office programs, including Excel, Outlook, and Access
- Attention to detail
- Professionalism, courtesy, cooperation, dependability and the ability to work in a team environment
- Effective time management skills and the ability to work productively under minimal supervision
Preferred Qualifications
- A degree in business management or a comparable field is preferred
