Job Title: Office Manager
Compensation: $60,000 to $70,000 DOE
Reports to: President

Job Description:
The Office Manager is responsible for increasing the internal efficiency of NOW/Orion Environmental Services technical operations. Responsibilities include utilizing top notch written and verbal communication skills to provide support to clients, vendors, and the N/O management team at all three locations. In addition, the manager will run the company’s day-to-day administrative activities.
Basic Functions:
- Manage all day to day operational aspects of the home office.
- Respond to all office manager emails or forward to appropriate recipient.
- Support clients and vendors with all none technical details of the business.
- Work with office assistant to maintain AR/AP.
- Collections of accounts over 60 days.
- Support management staff, as needed, with clerical issues.
- Maintain insurance.
- Maintain certifications.
- Collect, verify, and submit payroll to accountant.
- Administer contracts with clients and vendors.
- Administer state and federal contracts.
- Daily maintenance of O/N Websites.
- Deal with QuickBooks issues.
- Job coast projects.
- Track financial metrics.
- Banking duties.
- Maintain printed materials.
- Administer company events.
- Lead customer appreciation activities.
- Write and administer office procedures.
- Responsibility of maintaining office electronics with the support of technical consultant.
- Assist office assistant in answering phones, answering questions, or directing calls.
- Assist office assistant with typing customer laboratory sample reports.
Additional Duties and Responsibilities:
- Improve customer service, perception, and satisfaction.
- Work with the team and communicate effectively.
- Administer corrective action if needed in the office setting.
- Gain specific knowledge of customers and how N/O can bring value to the marketplace.
- Document internal processes and procedures related to duties and responsibilities.
- Responsible for entering time and expenses in QuickBooks as they occur.
- Understand processes in FileMaker, QuickBooks – reconcile data.
- Support department heads in reaching their goals.

- Proven experience as an Administrative Assistant, virtual assistant, or Office Manager
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment; computers, printers, scanners, and fax machines.
- Proficiency in MS Office (Word, Excel, and PowerPoint)
- QuickBooks Expert (preferred)
- Excellent time management skills and the ability to prioritize work in a fast-paced office.
- Attention to detail and problem-solving skills.
- Technical awareness: the ability to match resources to technical issues appropriately.
- Typing skills to ensure quick and accurate entry of service request details.
- Strong organizational and soft skills with the ability to multi-task.
- Self-motivated with the ability to work in a fast-moving environment.
- Proficiency in marketing tools.
Educational/Vocational/Previous Experience Recommendations:
- Associate degree preferred.
- Two years of Administrative Assistant/Office Manager experience.
