Overview:
We are seeking a highly organized and detail-oriented Service Coordinator to join our team. As a Service Coordinator, you will be responsible for providing administrative support and coordinating services for our clients. This is a vital role in ensuring smooth operations and excellent customer service.
Responsibilities:
§ Collaborate and partner with the Office Marketing Manager the planning, set up, and execution of office events, including vendor and catering communication, AV set-up, and all other tasks required of the event.
§ Coordinate logistics for internal meetings and events including food/beverage orders, invitations and RSVP tracing, etc., including department/practice group meetings.
§ Review Meeting Room Manager and / or other technology every 30 minutes (at a minimum) to ensure conference rooms are set up appropriately.
§ Handle beverage service for clients, guests and department meetings, including set-up, regular refreshing of hospitality items, and clean-up.
§ Provide support to marketing for firm/marketing sponsored functions, including special after-hours events (i.e. set up, clean up, caterer coordination/access, etc.).
§ Ensure all conference rooms, reception areas, visiting attorney offices, kitchens, restrooms, and other common areas are consistently clean and organized.
§ Maintain proper supplies in kitchens, galleys, coffee areas, conference rooms and lobbies where appropriate.
§ Assist in coverage for backup receptionist duties
Skills:
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent attention to detail to ensure accuracy in all work performed
- Proficient in administrative tasks such as filing, data entry, and document management
- Knowledge of contract coordination and document review processes
- Strong written and verbal communication skills
- Ability to conduct research and gather information efficiently
- Familiarity with clerical duties such as answering phone calls and responding to emails
- Proficient in using computer software programs such as Microsoft Office Suite
Note: Paralegal experience is a plus but not required for this position.
