Job Summary:
The Front Desk Receptionist serves as the first point of contact for visitors, clients, and employees. This role involves greeting guests, answering and directing phone calls, managing the front office, and performing various administrative duties.
Key Responsibilities:
- Greet and Welcome Visitors: Warmly greet and assist visitors upon their arrival, ensuring they feel welcomed and directed to the appropriate person or department.
- Answer and Direct Phone Calls: Manage incoming calls, provide information, take messages, and direct calls to the appropriate staff members.
- Manage Reception Area: Keep the reception area tidy and presentable, with all necessary materials (e.g., pens, forms, brochures).
- Administrative Support: Provide general administrative and clerical support, including mailing, scanning, faxing, and copying documents.
- Schedule Appointments: Manage calendars and schedule appointments for staff as needed.
- Receive and Distribute Mail: Sort, distribute, and prepare outgoing mail and packages.
- Customer Service: Address general inquiries and provide accurate information to clients and visitors.
- Maintain Security: Monitor and manage access to the building, ensuring visitor sign-in and adherence to security protocols.
- Coordinate Meetings and Events: Assist in organizing meetings, conferences, and company events, including booking rooms and preparing materials.
- Data Entry and Record Keeping: Maintain records and files, including updating contact information and managing databases.
