Job Summary:
The Facilities Coordinator is responsible for delivering quality facility related services and has a strong customer-based focus.
Essential Duties / Responsibilities:
- Implement daily inspections of the facilities/offices to ensure a safe and fully functioning environment
- Ensure to enforce and comply with all company established policies and procedures
- Maintain facility and records to ensure compliance with company standards and all federal, state, and local regulatory agencies
- Order materials and office supplies
- Initiate purchase requisitions
- Review of FM based invoices and coding for approval
- Point of contact for vendor and service providers
- Respond to work order requests
- Maintain occupancy reports
- Create and maintain security access control badges
- Interface with property management contacts for landlord-based services
- Furniture installations, maintenance, and repairs
- Assists with various building-based meetings both setup and take down
- Administration of Facilities services
- Coordinate desk moves and interface with RE, IT, and Safety
- Weekly building condition and HSE inspections
- Prepare new hire seat/desk assignments
- Backfill for receptionist as needed
- Assists in various other duties that may be required throughout the day
- Other duties as assigned
Working Conditions:
- Office environment with some outdoors work due to equipment located outside the offices/parking garages for visual inspections
- Some overtime required if special projects arise
- Minimal travel as required
- On-Site 5 days per week in the Princeton, NJ office
Minimum Requirements:
- High School Diploma/GED
- 3-5 years of relevant facilities or related experience
- Valid driver's license to be able to operate company vehicle/s
- Must be able to pass a NERC background clearance check
Preferred Qualifications:
- Bachelor's degree in a facility-based field of studies from an accredited four (4) year college/university
Additional Knowledge, Skills and Abilities:
- Must be a well-organized, detail and customer (internal and external) oriented self-starter
- Ability to interact with others on all levels
- Contract interpretation skills
- Some level of knowledge of project management
- Ability to learn how to read and decipher blueprints, drawings, plans, one lines and specifications
- Communication skills
- Minor level of Technical engineering skills
- Basic electrical skills
- Able to receive and understand direction from upper management
- Professionalism
- Decision making abilities
- Problem solving abilities
- Working knowledge of OSHA, DEP and EPA regulations
- Working knowledge of LEED certifications and Sustainability
- Working knowledge of HAZMAT and proper handling
PHYSICAL REQUIREMENTS:
- Occasionally requires lifting to 25 lbs. to perform duties and responsibilities
- Will be required to climb a step or vertical ladder of over 6’
- Will require the ability to read and understand gauges and dials
- Will be required to pass training to manually operate valves and electrical switches/breakers
