Project Coordinator
Job Overview:
The Project Coordinator will support the Project Controls Manager in planning, scheduling, resource allocation, financial reporting, material procurement, and risk identification for data center, fiber optics, and telecommunications projects. This role ensures effective coordination of project activities and adherence to project objectives, timelines, and budgets.
Key Responsibilities:
Project Scheduling:
- Develop and maintain detailed project schedules. Resource Planning: Coordinate with project teams to allocate resources, including personnel, vehicles, tools, and equipment, efficiently. Update project management systems to reflect assigned resources.
Financial Reporting:
- Track project budgets, expenditures, and resource allocations. Assist in preparing financial reports, including budget vs. actual, cost analysis, and forecasting. Issue and monitor purchase orders, handle invoicing, and calculate percentage of completion. Assist in estimating costs at completion and identifying cost saving opportunities.
Material Procurement and Monitoring:
- Procure necessary materials and track their delivery and usage. Validate receipt of materials and update project management systems accordingly. Permits and Miss Utility Tickets: Call in permits and Miss Utility tickets as required. Maintain records of all permits and tickets. Risk Identification: Identify potential project risks and report them to the Project Controls Manager. Assist in developing and implementing risk mitigation strategies. General Support: Provide general office support as required. Assist in drafting and improving project management processes. Stakeholder Communication: Maintain effective communication channels for project updates. Collaborate with cross functional teams to ensure project alignment and resolve issues promptly.
Documentation and Reporting:
- Manage and maintain project documentation, including project plans, reports, and permits. Update and report project documents and data in designated project management systems. Closeout Documentation: Prepare and maintain project closeout documentation. Ensure all project requirements are met and documented accurately.
Qualifications:
- Bachelor’s degree in project management, Business Administration, Engineering, or a related field.
- 2 years of relevant experience in project coordination, preferably in the data center, fiber optics, or telecommunications industry.
- Strong skills in Microsoft Word, Excel, and the Microsoft Office Suite, including PowerPoint, Outlook, and Project.
- Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously.
- Strong analytical skills and attention to detail.
- Effective communication and interpersonal skills, with the ability to collaborate across teams and with external stakeholders.
- Ability to work under the direction of a Project Controls Manager and support project controls functions. Ability to self-lead and communicate effectively with project teams and stakeholders at all levels.
