Job Description

THE SELECTED CANDIDATE WILL BE OFFERED A SALARY BETWEEN $80,000 - $90,640.

The Administration for Children’s Services (ACS) protects and promotes the safety and well-being of children and families through child welfare and juvenile justice services and community supports. ACS manages community-based supports and foster care services and provides subsidized childcare vouchers. ACS child protection staff respond to allegations of child maltreatment. In juvenile justice, ACS oversees detention, placement and programs for youth in the community.

The Division of External Affairs works with both internal and external stakeholders to ensure that the agency speaks with one, consistent voice regarding the priorities of ACS and also promotes and supports all ACS divisions with their programs and initiatives. The division includes the Offices of Communications and Marketing, Advocacy, Intergovernmental Affairs, Interagency Affairs, and the Immigrant Services and Language Affairs unit.

The Division of External Affairs seeks a Special Assistant, who will report to the Chief of Staff of External Affairs and work closely with the division’s Deputy Commissioner for External Affairs to manage the division’s administrative needs.

The Special Assistant’s job duties and responsibilities will include, but not be limited to:

  • Report to Chief of Staff of External Affairs to help coordinate and implement the division’s initiatives, events and projects and assist in the oversight of the division’s operations.
  • Provide administrative assistance to the Deputy Commissioner of External Affairs, including but not limited to assistance with scheduling meetings, organizing events, and assisting with telephone communication
  • Work closely with division staff to assist in preparation for all meetings and events.
  • Draft letters, memos, and other correspondence on behalf of the division, as requested.
  • Attend team meetings and assist in the transcription of minutes, as requested.
  • Process incoming mail and perform other related administrative tasks, as needed.
  • Assist in corresponding to Dynamics for the division and providing responses in a timely manner.
  • Develop and maintain appropriate spreadsheets, charts, tables, contact/distribution lists, and directories using Microsoft Office and other software applications.
  • Assist in various liaison functions with community leaders, stakeholders, partner agencies, etc.
  • Serve as the point person for the Division’s Wellness activities.
  • Assist with special projects as assigned, including managing invoices and payments from vendors in PASSPort.

Minimum Qualifications


1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.

- Excellent customer service skills. - Strong interpersonal skills. - Ability to present information in a professional manner. - Ability to manage in an intense, deadline driven environment. - Ability to manage numerous projects simultaneously. - Strong communication skills (both written and oral). - Proficiency in Microsoft Office applications.
