What are the responsibilities and job description for the Pm supervisor position at Ocean Reef Club?
Summary :
- To serve members of Ocean Reef Club, Hotel Guests & Group guests upon arrival, departure and during their stay at the club.
- To act in a supervisory role and assist the Bellstand / Transportation Manager in the day to day operation of the Bell Stand.
- To work in conjunction with Bellstand team to maintain accurate logs of the daily Bell Stand activity.
- To maintain a high level of productivity from the Bell Stand staff in absence of Bellstand Manager.
- To ensure the Front Drive operates seamlessly and is free of cart & vehicle traffic obstructions.
Essential Duties and Responsibilities :
- Set the proper example by reporting to work on time in proper uniform.
- Use communication tools effectively. (log book, DGA, This Week at the Reef and PBX line up)
- Answer phone and provide dispatch and services in accordance with Bell Stand standards.
- Support the Transportation Department with any after hours or unusual requests.
- Assist with the vehicle maintenance and cleanliness.
- Check all daily function sheets for the day's activities and relay all information to fellow Bellman.
- Assist with all needs from Group Contacts or Wedding Contacts.
- Assist with the setup, organization, and delivery execution for all group amenity deliveries.
- Greet all members and guests with a warm greeting!
- Dispatching of fellow Bellmen maintenance of daily log sheets. (Cart Rental Log, Valet Log, Enterprise rental / return log, & Bellmen activity log
- Assist Member / Guest to Hotel Accommodation with luggage, providing information about dining and recreational facilities, functions (daily & special), and member conference locations.
This includes giving tour of room, TV, A / C, phone, amenities, getting ice, making dining reservations and golf tee times.
Advise guest of dress code restrictions. Must be prepared to answer any questions concerning hotel facilities and functions being held within the hotel.
- Deliver messages, faxes, amenities, and flowers, etc. as soon as reasonably possible.
- Supporting Transportation in loading and unloading of busses, identifying and correctly tagging luggage, and making sure group arrivals and departures run smoothly.
- Maintain appearance of entry and lobby areas by controlling cleanliness, maintenances, and storage of luggage, traffic control, and dress code.
- Organize and distribute of luggage during heavy arrival periods.
- Ensure information is passed on at the close of each shift, both for bellmen and for Bellstand / Transportation Manager.
- Assist Bellstand / Transportation Manager in effectively managing payroll.
- Assist Bellstand / Transportation Manager in associate accountability.
- Responsible for associate development per Bellstand / Transportation manager direction.
- Insure proper supplies are on hand for proper services.
- Ensure proper procedures are followed when valet parking vehicles.
- Assist and take ownership of any member / guest issues presented on the front drive or curb
- Weekly review of group resumes ensuring all department requirements are properly communicated.
- When scheduled, attendance at group pre-con meetings to represent the Bellstand department.
Qualifications :
- At least three years prior experience in a Bell Stand environment.
- Lift up to 60 lbs., good driving skills, possess valid drivers' license.
Education and / or Experience
High School Diploma required; experience in Customer Service industry desirable.
Language Skills
Must be able to comprehend the English language in order to communicate with co-workers and fully understand job assignments.

Regular attendance in conformance with the standards, which may be established by Ocean Reef Club from time to time, is essential to the successful performance of this position.
Associates with irregular attendance will be subject to disciplinary action, up to and including termination of employment.
Due to the cyclical nature of the hospitality industry and report deadlines, associate may be required to work varying schedules to meet the business needs of the Club and report deadlines.
Proper grooming is required by all associates and is described in detail in the Associates Handbook. Associates should review this policy and make sure that at all times they present themselves for shifts looking clean, neat and professional.
As a condition of employment, all associates agree to fully comply with Ocean Reef Club rules and regulations for the safe and efficient operation of Club facilities.
Associates who violate Club rules and regulations will be subject to disciplinary action, up to and including termination of employment.
