Job purpose
Maximize productivity of salespeople by assisting in the sales process, processing orders, and providing customer service.
Duties and responsibilities
- Coordinate any information or services that relate to a specific project to assure that there is proper communication between internal departments, salesperson, and customer.
- Assist salesperson in the preparation of quotations to customers. Attend Pre-planning meeting for orders being entered.
- Often the direct contact with vendor representatives for acquiring pricing, lead times, COM’s and any warranty information.
- Process orders and acknowledgments in a timely fashion, resolving discrepancies to assure accurate deliveries.
- Coordinate deliveries, installations, and service requests, preparing the necessary paperwork.
- Communicate shipping, delivery, and installation schedules to the customer or project manager on a regular basis.
- Track and resolve follow up items by entering open issues into Hedberg (if not already entered by installers) and ordering the necessary items/services to complete the job.
- Review the Dashboard, A/R aging, and exceptions daily and resolve items as appropriate.
- Regularly act as a customer service representative professionally and promptly handling customer inquiries and complaints, taking the appropriate action to resolve customer concerns when salesperson is unavailable.
- Complete Corrective Action Form when the cost of an error is over $500.
Requirements
Qualifications
- Sales support, order processing, and operations experience preferred.
- Strong math aptitude.
- Bachelor degree preferred or 2-3 years experience in a similar field.
- Sales support, order processing, or operations preferred.
- Relevant industry experience desirable. Satisfactory completion of the company’s introduction training.
- Ability to work independently.
- Some project management involvement.
- Computer skills.
- Excellent organizational skills and detail oriented
- Good written and spoken communication skills.
Working conditions
Work involves sitting majority of the workday in a controlled office environment, greater than 50% of the time.

Required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading, primarily on a computer monitor.
