Boutique Real Estate Services Company seeks a residential/commercial real estate professional with experience assstomg with property management, lease administration, tenant billing and collections on a day-to-day basis. The Property Administrator is a highly organized, detail-oriented, problem-solving self-starter, with exceptional customer service, lease management and business administrative skills. Ideal candidate will have excellent written and verbal communication skills and will be discreet, professional, friendly yet firm when working with clients, tenants and contractors.

Candidate will support day to day real estate operations and must possess a strong work ethic, be highly organized, accountable and responsible with strong time management skills. Proficient in Microsoft Office & Google Suite Programs specifically Excel with excellent problem-solving and conflict resolution skills.

Responsibilities include:

  • Handle communications (calls, texts, e-mails) with tenants and clients and documenting all transactions in databases (Excel)
  • Liaise with existing and prospective tenants. (e-mail/deliver notices to tenants regarding rent increases, changes in policies, inspections, etc.)
  • Manage compliance with all Federal, State, Local (Municipal) laws, rules and regulations including but not limited to building, safety codes, business registrations, forms, etc. Create leases and lease renewals.
  • Sending out monthly rent invoices, Ensuring all rents are collected when due, and posting payments according to established procedures and time constraints
  • Working with CFO on Accounts Payable & Accounts Receivables
  • Process and record maintenance service requests and issue work orders as needed follow and record status.
  • Monitoring work performance of Building Maintenance Team & Vendors.
  • Providing Project Administrative support in the case of maintenance matters
  • Manage and coordinate Tenant move-out process upon lease expiration including coordinating inspections, damage assessment and consequently return of security deposit.
  • Coordinate the new tenant process including marketing the space, vetting prospectives, etc.
  • Conduct regular periodic inspections of the properties and tenant spaces to ensure upkeep of property including viewing and inspecting apartments.
  • If, and when, applicable lead the eviction process in accordance with state and local laws (Rules and regulations), and in partnership with legal counsel
  • Office Administrative duties and Other reasonable duties as required or assigned such as but not limited to maintaining and organizing accurate records, and basic office administrative responsibilities: Additional duties may be assigned by your supervisor.

Qualifications

  • High School Diploma, GED or Higher
  • Proactive, “solution” oriented/problem solver
  • Strong organizational, written & verbal communication and time- management capabilities and sense of urgency
  • Ability to handle multiple tasks in an organized and efficient manner
  • Excellent oral and written communication skills. Professional yet firm with ability to work with contractors and tenants
  • Proficient Computer Skills (Apple computers)
  • Proficient with Microsoft Office specifically Excel and Google Suite
  • Valid Driver’s license.
  • 2-5 administrative experience in a Real Estate Setting/Property management with an understanding of leases and building systems.
  • An understanding of lease agreements, terms and terminology and enforcement thereof which would include but not be limited to all inspections and move-ins
  • Familiarity with NYC HPD rental laws a plus
  • Once familiar with internal operations and practices, be able to work independently and with minimal direction (although direction is provided when required)

Job Type: Full-time

Pay: $50,000.00 - $70,000.00 per year
