Duties & Responsibilities 

Completion of Donor Charts 

1.Supervisory responsibility for facilitating and maintaining primary responsibility for the timely completion of donor case files in compliance with OneLegacy P&Ps, FDA regulations, AATB and EBAA standards, processors requirements, and local, state, and federal regulations.

2.Act as primary liaison with all processors.  Facilitate timely DIC response to processor requests (processor pending lists) for outstanding information or corrections to donor case files.

3. Ensure timely provision of donor related documents, laboratory results and information to tissue processing partners.

4. Monitor and track DICs’ documentation practices and provide constructive feedback to Operations staff to improve performance.

5. Obtain medical records, laboratory results, autopsy reports, death certificates, and other required information or documentation necessary to complete the donor case file. Share information with processors and transplant centers, as deemed necessary.

6. Propose, create, implement, and/or maintain reporting tools necessary to monitor, track and expedite the completion of the donor case file and department performance metrics.

Provides Oversight for Daily Office Duties

1. Manages daily and shift activities.

2. Supports technical operations and coroner / medical examiner offices during interactions to obtain donor information. Develop relationships necessary to support the OneLegacy program.

3. Ensures the accuracy of donor information in donor electronic medical record system.

4. Manage, monitor, coordinate, and expedite the resolution of issues identified to release recovered tissue types (JRF, OA, and corneas) requiring expedited chart release on a daily basis.

5. Perform consultations with relevant personnel (i.e., attending physician, primary care physician, pathologist, hospitals, or funeral homes) to obtain required information necessary to complete the donor case file in accordance with OneLegacy policies and procedures.

6. Manages the compiling of data/statistics related to donation activities.

Other Responsibilities:

1. Responsible for representing OneLegacy and for providing customer service in a professional manner when working with funeral homes, ME/Coroner, processors, hospitals, patients, guests, physicians, staff, transplant centers, UNOS and other customers/vendors.

2. Ensures that employee performance management is conducted within the required timelines set forth by organization guidelines.

3. Required attendance at department staff meetings.

4. Required attendance at annual hazard communication and control safety training sessions for Cal-OSHA, contract processors, and other training programs as deemed necessary by the Manager of Recovery and Technical Services.

5. Assures that all duties and responsibilities are performed in compliance with safety guidelines, policies and procedures, regulations as outlined in the Code of Federal Regulations, and other applicable federal, state, and local laws.

a. Performs quality control practices as defined by the policies and procedures.

6. Supports the organization’s Standards of Professional Conduct as outlined in the OneLegacy Policies and Procedures, and the mission, vision, and values of the organization.

7. Maintains a neat and organized workstation and environment.

8. Performs other duties and projects as assigned.

Job Qualifications and Requirements:

Education: Bachelor’s degree (BS or BA) from an accredited four-year college or university, completion of Surgical Technologist or EMT program, and/or training in an affiliated health or mortuary sciences field required.

Experience: A minimum of two years recovery experience in tissue banking preferred.

Certification/License: CEBT and/or CTBS certification required within two years of hire. OneLegacy requires employees to maintain a current California driver’s license and current vehicle insurance. Please refer to OneLegacy’s Policy HR108 - Licensure and Certification for insurance coverage requirements.

Requirement: Employee must be able to pass a local government agency (coroner’s office) background check.

Equipment: Reliable automotive transportation required.

Salary Range:$70,000-$90,000
