ABOUT THE JOB
OneStream is looking for an Office Manager to join our Facilities Team. The role of Office Manager is responsible for managing operations for both the Alpharetta Office and Event / Training Space. You will be the face of the office and must have great communication skills and expert customer service skills, with the flexibility to multitask and work on varying size projects. The successful candidate must be very comfortable in a fast-paced environment.
This role is critical in promoting OneStream culture, creates and elevates programs, and amenities that make the office a great work experience and a world-class workspace.
PRIMARY DUTIES AND RESPONSIBILITIES
Office Management
- Manage office operations, service and vendor relationships, manage building access and security, handle maintenance for multiple offices, and support sustainability initiatives.
- Coach and mentor Office Administrator
- Manage all incoming communications and mail/packages, and handle office communications
- Liaise with Property Management in relation to building notifications including emergency protocol
- Uphold and implement facility policies and procedures
- Procure and manage office supplies, snacks, and equipment
- Manage and control budgetary expenses and costs and report these accordingly
- Implement cost reductions and management purchase orders and invoice approvals
- Host and manage onsite meetings, company events, and training sessions
- Provide monthly reports on office utilization and expenses
- Manage office calendars, conference room bookings, Workplace Reservation System and updates.
- Manage and support miscellaneous ad hoc duties and requirements as needed.
- Perform other duties as assigned.
Event/Training Space Management
- Manage and schedule on-site 3rd party vendors to ensure workspace is up to standard and conduct regular inspections to identify maintenance needs and address them promptly.
- Handle inquiries and communicate effectively with employees to understand their event requirements and provide appropriate recommendations to enhance their booking
- Welcome event attendees and coordinate their use of the space
- Develop and implement procedures for efficient event setup and breakdown, work with building management for after-hours requests, and have the flexibility to work evenings, weekends, and holidays as required.
- Manage and maintain an up-to-date booking calendar and ensure accurate scheduling of events.
- Procure, manage, and maintain event space amenities and vendors, including snacks, beverage machines, etc.
- Manage and support miscellaneous ad hoc duties and requirements as need
QUALITIES OF A SUCCESSFUL CANDIDATE
REQUIRED EDUCATION AND EXPERIENCE
- BA/BS Degree or relevant combination of education and experience.
- 5 proven years of experience Office Manager capacity, or equivalent.
- Proven experience in event management, preferably in a similar role overseeing event spaces and office.
- Excellent communication and interpersonal skills, with the ability to interact professionally with clients, staff, and stakeholders at all levels.
- Experience interacting and coordinating with external vendors, senior executives, and other company stakeholders.
- Ability to lead and motivate a team, delegate tasks, and resolve conflicts in a positive and constructive manner.
- Able to lift up to 50 pounds.
- Proficient in Microsoft Office Suite/Microsoft 365 Microsoft Office (Outlook, Word, PowerPoint); specifically, with Excel, SharePoint, and Teams.
