About the Executive Assistant Role:
The Executive Assistant will lead and support all OppZo, Inc. administrative and support needs. This role will be key in maintaining systems and processes designed to keep the business running smoothly. In this role you will resolve issues within your area of responsibility with minimal guidance.
Duties and Responsibilities:
- Handle information of a highly confidential and critical nature.
- Schedule and maintain Executive calendar of appointments and meetings, and ensures that complete information is available for all matters
- Exercise advanced written and oral communication to effectively interact with co-workers, business leaders and/or clients.
- Demonstrate time management skills, dependability, and the ability to prioritize multiple tasks with full commitment to getting the job done
- Travel to other OppZo offices may be required from time to time
- Act as the point of contact among executives, employees, clients, and other external partners
- Manage information flow in a timely and accurate manner
- Make travel and accommodation arrangements
- Assisting with scheduling personal appointments for self/family
- Rack daily expenses and prepare weekly, monthly, or quarterly reports
- Oversee the performance of other clerical staff, as needed
- Act as an office manager by keeping up with office supply inventory
- Format information for internal and external communication – memos, emails, presentations, reports
- Take minutes during meetings
- Organize and maintain the office filing system
- Outstanding organizational and time management skills
- Excellent verbal and written communications skills
- Always maintain the integrity of the OppZo brand
- Other duties, as assigned
Experience:
- Associate’s degree or equivalent
- 5-10 years of Executive Assistant experience
- CAP – Certified Administrative Professional certification is desired, but not required
- Must be self-motivated, highly organized, and well-informed
- Computer use competency and basic knowledge of internet, reporting tools, MS office products, apple products and CRM systems.
- Brings a proactive approach to improving systems and processes. Brings suggestions for improvement.
- Ability to communicate effectively, including handling confidential matters with discretion
- Excellent phone and interpersonal skills
- Excellent time management skills, dependability, and the ability to prioritize multiple tasks with full commitment to getting the job done
- Advanced writing and oral communication skills, preferably used in working effectively with business leaders and/or clients
- Demonstrated ability to interact with senior level executives and/or clients in an effective and professional manner
- Demonstrated proficiency with business and industry related computer applications, such as the Microsoft Office Suite, including Word, Excel, and PowerPoint
- Must be proficient in the following systems and platforms:
- Google Workspace
- Google Drive: Worksheet, Docs, Slides, Forms, etc.
- Gmail
- Google Calendar
- DocuSign
- Basecamp
- Slack
- Salesforce
