What are the responsibilities and job description for the Pathology Coordinator position at Optum Medical Care PC?

The Pathology Coordinator provides administrative support to Pathologists and Laboratory department management.

Job Responsibilities: (This list may not include all of the duties assigned and can change.)

  • Maintains cooperative and professional relationships with clinicians, nurses, and clinical office staff.
  • Provides reception assistance to the department (i.e answer the telephone, screens calls, takes messages, directs calls to the appropriate personnel and/or department when needed).
  • Inventories and orders office supplies for the department as needed.
  • Maintains department files in an organized and up-to-date manner in accordance with department procedures to ensure their retrieval and compliance with NYS protocols.
  • Receives and distributes files for department staff.
  • Provides excellent customer service and assistance to our patients, clinicians, and clinical staff in professional and courteous manner in person and over the phone.
  • Answers patient questions to ensure understanding and patient satisfaction, or refers them to more senior staff when necessary.
  • Secures appropriate authorization signatures in compliance with CareMount, HIPPA, and department policies.
  • Compiles all necessary patient documents (i.e demographics, insurance information, CareMount pathology reports and slides, and corresponding reports) accurately, neatly, and concisely.
  • Scans and saves send-out paperwork for accurate documentation and reference.
  • Follows up with outside medical facilities for reports pertaining to CareMount Pathology cases and the return of materials in concordance with department policies.
  • Logs incoming or outgoing pathology reports and materials accurately according to date and condition.
  • Records detailed and concise notes for quality assurance documentation when necessary.
  • Follows up with appropriate laboratory representatives to gather missing information, reports, or materials.
  • Reviews and makes necessary adjustments to the the Pathology billing reports before submitting to the designated Billing Department personnel to ensure accurate billing of Pathology cases.
  • Attends meetings and records meeting minutes/discussions.
  • Assists the pathologists in making minor report corrections.
  • Places lab orders for additional testing requested by the pathologists or clinicians. Orders slides or stains with the lab in concordance with testing specimen requirements. Sends out pathology specimens in accordance to department policies for testing.

Knowledge, Skills and Abilities:

Knowledge of business office procedures.
Knowledge of grammar, spelling and punctuation to type accurately.
Skill in operating a computer, copier, scanner, fax machine and other office equipment.
Ability to communicate appropriately with others and to answer the telephone in a pleasant and helpful manner.
Ability to speak clearly and concisely
Ability to read, understand and follow verbal and written instruction
Ability to sort and file materials correctly by alphabetic or numeric systems
Ability to establish and maintain effective working relationships with employees and the public.

Education: High School Education or GED. College courses preferred but not required.

Experience:

  • Prefer one year work experience in a medical office or laboratory setting.
  • Knowledge of medical terminology.
  • Word processing and computer experience.


Working Conditions: Work is performed in an office area. Interaction with others is frequent and interruptive.
