ACCOUNTS PAYABLE/ACCOUNTING ASSISTANT
Job Title: Accounts Payable/Accounting Assistant
Hours & Wage: Part-Time (24 to 32 hours a week) @ $18.00 an hour
Reports to: Assistant Controller
Job Description: The Accounts Payable/Accounting Assistant is responsible for processing accounts payable, assisting with accounts receivables and performing daily accounting tasks that will support our financial team.
Job Duties:
- Process weekly accounts payable invoices and checks.
- Ensure club policy is followed for invoice approval procedures.
- Post invoices in the computer following internal controls to assure that only valid, approved and accurate vendor invoices are recorded and paid.
- Communicate with managers regarding invoice processing, statement reconciliation and other accounts payable issues.
- Maintain the accounts payable database, vendor files and good vendor relationships
- Review vendor statements with processed invoices and resolve missing or discrepancies with amounts.
- Process 1099s at year end, obtain W9s from new vendors where appropriate, and assist with credit applications, certificate of exemptions and W9s.
- Audit Daily chits and update end of day POS activity to member’s accounts from all departments.
- Assist with printing/mailing club member statements.
- Prepare Bank Deposits for receivables.
- Accommodate the needs of members, as required.
- Answer phone calls as needed and direct them to the appropriate department.
- Other duties as assigned.
Qualifications:
- Proficient computer skills including Microsoft Office, especially Outlook email and Excel
- High school diploma or GED
- At least 2 years previous Accounts Payable experience.
Preferred:
- Associates or bachelor’s degree in accounting
- Experience in hospitality or retail setting with strong customer service skills.
