The School of Chemical, Biological and Environmental Engineering (ECB) is seeking a Graduate Program Coordinator. This is a full-time (1.00 FTE), 12-month, professional faculty position.
The Graduate Program Coordinator is responsible for coordination and administrative support of the graduate programs within in the School of Chemical, Biological, and Environmental Engineering (CBEE). The person in this position will take an active role working with faculty and the Office Manager on graduate appointments within the School and working closely with the Graduate School on student applications, recruitment, and completion progression.

Position Duties

45% Graduate Program Operations/Student Support:
30% Advising/Mentoring:
Provide advising/mentoring to all students throughout their tenure in CBEE. Provide additional support to INTO OSU Graduate Pathway and MEng majors in CBEE, based on advising guidelines developed by the School. Review students’ academic progress; resolve problems related to curriculum and course prerequisites; devise appropriate plans for success. Serve as supervisor to all incoming graduate students to provide expectations and feedback on 1st year progress towards satisfactory academic progress until they have been matched with a permanent academic advisor.
10% Assessment:
Distribute and collect program assessment documents for MEng, MS and PhD milestones. Compile and analyze results for yearly review. Analyze data provided by the Graduate School and work with graduate committees to complete required program reviews.
10% Graduate Program Outreach and Committee Service:
Work with the College to update and maintain CBEE website, printed materials, and email marketing communications, and materials in regards to research and graduate programs. The GPC will serve on recruitment & admissions, and curriculum & assessment graduate committees affiliated with each program. Coordinate and participate in graduate recruiting events at regional and national conferences.
5% Special Projects and general CBEE office operations: General office support and other duties as assigned by supervisor.
Minimum/Required Qualifications
- Provide academic advising support and direction to the students enrolled in the CBEE Graduate programs (approximately 110 students). Oversee application process including initial evaluation of admission materials; organizing materials for review; creation and maintenance of online files; communications; and follow-up. Evaluate and maintain student academic records.
- Coordinate, plan and organize annual graduate student events, including fall orientation, spring graduation celebration, and fall/winter recruiting events. Oversee operations of graduate student program such as registration annual evaluations, and process to degree completions.
- Coordinate CBEE 507, Professional Development Seminar. Deliver program/curriculum specific content in seminar or other settings that are more informal.
- Work with graduate committees and the Associate Head for Graduate Programs to update program documents and communicate program or curricular changes to students and faculty. Help faculty submit Category II proposals for changes to graduate curriculum, creation and/or modification of new graduate courses.
- Liaison between graduate students and OSU’s Graduate School. Provides statistical reports and analysis for management review. Serve as point of contact for graduate program information for prospective CBEE graduate students (inquiries received by email, phone, in person). Resolve all program issues and ensure program compliance with rules, laws, policies, and procedures. Represent CBEE graduate program on the respective CBEE graduate committees, with the Graduate School, and other pertinent university meetings. Assist with large-scale efforts that increase graduate funding opportunities.
- Work with faculty and Office Manager to track and enter all graduate student appointments into the OSU BennyHire system. Work closely with the Associate Head for Graduate Programs to determine recruitment and bridge funding needs within the School.

- Bachelor’s degree in science, engineering, psychology, communication, counseling, business, education, or related field from an accredited degree program.
- Two years of experience in program management.
- Demonstrated experience in successfully providing customer service to a broad range of people.
- Outstanding interpersonal communication skills.
- Competency in computer skills including the Microsoft Office Suite.
- Demonstrated commitment to promoting and enhancing diversity (e.g., mentoring and supporting students from diverse backgrounds, fostering positive and affirming interpersonal interactions across differences, and challenging structural/cultural barriers that limit movement towards social equality).
- This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a Criminal History Check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions.
- Master’s degree in science, engineering, student services administration, education, or a related field.
- Experience in program development and administration.
- Experience working in an academic setting.
- Demonstrated advanced skills in written and oral communication. Excellent organizational skills.
- Demonstrated experience with working with database software systems.
